Role Overview

Financial Controller will support the strategic financial direction of the company, lead all operational finance related activities and be involved in the important relationships with the company's bank, auditors and external agencies, as led by the Directors and Chairman.

They will also recommend and when approved take action to streamline all necessary structure, policies, procedures to ensure the sound financial management and ensure, through a collaborative approach, commercial acumen and operational excellence, that the board are provided with accurate figures to run the business efficiently and effectively and to remain committed to driving through continuous improvement.

Main Responsibilities

Operational/Functional Responsibilities
• Daily audit of the ‘banking sheets’ prepared by the Finance Assistant
• Work with front of house teams to ensure Guestline records for revenue, debtors and reconciliation of all control accounts is completed
• Be responsible for collating and driving the Leisure business forecasting model
• Reconcile balance sheet accounts and resolve any queries
• Review expense codes and costs and resolve any queries.
• Oversee the Accounts payable function and ensure that supplier payments are made on time
• Processing all payroll payments from our rota software including ensuring that PAYE, NI and pension contributions are all correctly managed and resolve any queries in conjunction with HR Manager and Dept Managers
• Monitoring rota costs against budgets and KPIs, and ensuring that KPIs, budgets and forecasts are updated as appropriate
• Work with the Directors to manage cashflow
• Work with Directors and Ops Manager to input purchase order management infrastructure to ensure business efficiency
• Work with the Ops Manager to monitor and manage external contracts, services and product provided by suppliers to ensure that these are operating effectively and provide the best value to the company. Actively contribute to driving best value ethos throughout the company
• Work with the Ops Manager on the order processing, cost control and supplier network to achieving best value and a sustained group procedure that would limit supplier and invoice/transaction numbers to fit within a streamline finance function

Financial Reporting
• Collate, monitor, manage and present bi-weekly Sales Reports
• Support the Directors and team by leading on the preparation of budgets, management accounts and financial reports including cash flow forecasts, monthly management P&L information, balance sheets, tax returns and reports for regulatory agencies
• Work with Directors to develop and control the company’s annual operating budget to ensure that all financial targets are met and financial and statutory regulations complied with
• Provide financial advice and guidance to the Directors and company's managers and staff to enable them to achieve their objectives, through established industry KPIs and clear, consistent reporting
• Work with the Directors to review the company accounting function to ensure best practice and stream-line operations. Remove unnecessary practices to create a dynamic accounting team making best use of web-based solutions
• Carry out all necessary actions to ensure that the company meets its financial and legal obligations, including compilation of bank reporting information.
• Ensure that adequate financial risk management and sensitivity analysis is undertaken across the Leisure Business
• Oversee and direct that all relevant taxation requirements are properly dealt within a timely manner and that all appropriate tax legislation is complied with
• Prepare the company's financial accounts to ensure that these are presented accurately and on time for audit. Liaise with external auditors and assist them with any queries
• Oversee the management and provision of the company pension scheme
• Provide financial advice and support to the Directors, Chairman and board for analysis
• Work closely alongside the Director, developing dashboard style snapshot updates on financial performance

Leadership, People & Training
• Responsible for leadership and management of the finance team
• Responsible with the HR Manager for finance team recruitment, development, regular reviews and the management of disciplinary action in line with company policy
• Take responsibility for development and training, both for yourself and your team, participate in regular performance reviews and show commitment to development and progression as opportunities arise
• Implement, participate in and contribute to training and development within the team, to ensure that the finance team are experts in their roles and that all statutory training requirements are met
• Assist Ops Manager to ensure that new and existing suppliers are compliant with the legal requirements of all aspects of Health and Safety including fire and food safety and licensing laws.
• Ensure that there are clear and appropriate lines of communication so that the whole team have all the information they need to enable them to work effectively

Partner relationships
• Prepare bank reporting and where required, work with the Directors and Chairman on managing the relationship with the bank
• To work with the Directors to ensure HMRC submissions are filed correctly and on time and work with the Directors to manage the relationship with HMRC
• Responsible for working with suppliers to ensure that all contracts achieve best value for the company and are reviewed regularly
• To ensure that business rate reviews are identified, and any reviews pushed for in a timely manner to ensure that rates are consistently matched to hotel performance
• To prepare information and work with auditors to limit the audit time required
• Set an example to others in “customer service” standards, constantly and consistently role modelling and enforcing the importance of excellent customer service/supplier relations to the whole team

Person Specification

ESSENTIAL
• Experience at senior Finance level within hospitality with proven understanding of industry best practice
• Understanding of hotel specific practices - allocations, price inclusions, accruals, best value practices, deposit management to advise MD on best practice and to eliminate “time stealers”
• Demonstrable experience in financial analysis including reporting for banks and overseeing audits.
• Strong experience in cash management and financial planning.
• A degree level qualification and an accounting qualification ACA, ACCA or CIMA

• Guestline/Reslynx User Experience
• Experience of working within a small, privately owned business
• Sage Accounts Experience
