Responsibilities

The Front Desk Administrative Assistant position requires in-office presence Monday through Friday to assist with operations for the office, front desk, and provides administrative support to the Office Manager

Front desk reception (answering phones, greeting visitors, handling mail and deliveries)

Completing administrative processes (email correspondence, creating spreadsheets for tracking and allocations, expense reports)

Catering coordination and facilities management assistance

Scheduling meetings and prep meeting rooms, event set-up

Assist Office Manager with day-to-day support and special projects

Order and maintain office supplies (invoice reconciliation)

Hours are 8:30 am - 5:00 pm

Qualifications:

• High school diploma required; post-secondary education or Associate’s/bachelor’s degree preferred.

• At least 2 to 3 years of relevant work experience as an Administrative Assistant or Receptionist in a professional service environment.

• Fluent in MSOffice (Word, PowerPoint, Excel, Forms and Outlook), MS Teams, SAP and Concur a plus.

• Previous Customer Service a plus.

• Strong oral and written communication skills.

• Professional appearance and demeanor with ability to exercise good judgment and discretion.

• Attention to detail, dependability/punctuality.

• Initiative-taker and ability to support a wide variety of tasks and meet aggressive deadlines.

• Experience working both independently and with a team in a demanding environment.
