This role requires a physical presence at the front desk, as well as answering phones, providing excellent professional customer service and appropriate direction to in-person and virtual visitors, vendors, partners, and customers
This also includes maintaining the lobby area, processing mail and shipments, monitoring security systems, and supporting daily activity in the building, partnering with administrative team and maintaining accurate front desk documentation to ensure compliance with security guideline procedures
As a Front Desk Administrator, you’ll advance our life-saving work by performing the following job duties:
Greet and assist visitors, vendors, partners, guests, and team members with a warm and welcoming demeanor, ensuring a positive first impression of our organization during open business hours
Handle calls and emails in a timely, courteous, and professional manner, directing inquiries to the appropriate team member; respond appropriately to requests for general information using electronic, hard-copy and people resources
Maintain the front desk and LifeSource Lobby as a clean, professional, and welcoming space
Process and distribute mail, deliveries, and shipping requests in a timely, efficient, compliant, and cost-effective manner using electronic postal and shipping system (e.g., open and date stamp, assign appropriate coding to invoices, etc.)
Collaborate with other team members to support groups, meetings, events and activities in the building; may include greeting, room setup and cleanup, preparing meeting materials, catering/hospitality services, and catering support
Monitor security cameras and ensure proper admittance of visitors and deliveries into secure areas of the facility, including the clinical suite for acceptance and release of donors
Provides general administrative support as requested, including but not limited to: word processing, compiling materials packets, data entry, filing, processing invoices, managing office supplies, meeting coordination/scheduling, registration, etc
Provide calendar management and scheduling for assigned staff members and/or leaders
Compose and manage correspondence, including emails, letters, and reports
WORKING CONDITIONS/SCHEDULE
Work a minimum of 40 hours per week (with schedule adjustments to accommodate organizational needs, as needed)
Front desk is staffed from 8:00am to 4:00pm
Please note: This position has the potential to witness, on camera or in-person, the transporting of a deceased tissue donor into or out of the onsite clinic

Preferred Qualifications
• A combination of education and experience equivalent to 4 years of administrative, clerical, reception or front desk responsibilities.
• Strong working knowledge of Microsoft Office applications, especially Word, Excel, Outlook and Teams.
• Knowledge of appropriate formatting and styles for correspondence, reports and related items.
• Previous experience with multi-line telephone systems, shipping and receiving systems, supporting meetings/events (both in-person and virtually).
