Job Overview:
As the welcoming face of our real estate brokerage, the Front Desk Administrator plays a vital role in ensuring smooth administrative operations. This position involves assisting registrants with listing uploads, managing appointments and communications, and overseeing the reception team to maintain a positive and efficient front office environment.
Key Responsibilities:
Reception Duties:
Answer phone calls, book and confirm appointments, and send messages via BrokerBay.
Greet clients and walk-ins warmly, ensuring a professional and friendly atmosphere.
Handle email and fax communications, including the receipt and distribution of important documents.
Broker Loading:
Input MLS listings, upload photos, and process new listing documents (including price changes and extensions).
Enter listing information and appointment instructions into BrokerBay, ensuring compliance with office policies.
Administrative Support:
Organize and maintain Skyslope filing system for documents and listings.
Prepare deposit receipts for trust cheques and manage inventory for office supplies.
Oversee the reservation and preparation of boardrooms for meetings.
Qualifications:
Ontario secondary school diploma (or equivalent); post-secondary education preferred.
Minimum of 2 years of experience as a receptionist or administrative assistant, within in a real estate environment.
Familiarity with Multiple Listing Service (MLS) and real estate systems.
Proficient in general computer software (word processing, database management, spreadsheets) and office equipment (computers, fax machines, telephone systems).
Strong organizational skills with the ability to prioritize tasks and manage time effectively.
Excellent verbal and written communication skills, with a professional and approachable demeanor.
