Responsibilities
Greet visitors and clients promptly and professionally, ensuring a positive first impression
Manage multi-line phone systems, screen calls, and direct inquiries appropriately
Schedule appointments and maintain calendars using office software tools
Perform data entry tasks accurately into databases and management systems
Handle filing, record keeping, and document organization to ensure easy retrieval of information
Assist with administrative duties such as proofreading documents, preparing correspondence, and managing mail
Support bookkeeping activities using QuickBooks or similar accounting software
Maintain a clean and organized front desk area to promote a welcoming environment
Provide customer support by addressing inquiries via phone or in person with excellent phone etiquette
Collaborate with team members to ensure smooth daily operations in a professional setting
Skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Strong computer skills with the ability to learn new software quickly
Excellent organizational skills with attention to detail for data entry and record management
Effective communication skills both verbal and written, including phone etiquette
Clerical experience preferred, especially in medical or dental office settings such as dental receptionist or medical office experience
Ability to handle multiple tasks efficiently in a fast-paced environment
Knowledge of multi-line phone systems and customer service best practices
Basic bookkeeping skills using QuickBooks or similar programs are a plus
Demonstrated ability to proofread documents accurately and maintain confidentiality when handling sensitive information
