Key Responsibilities:
• Reception Duties:
• Greet and assist visitors, students, and staff in a professional and courteous manner.
• Answer and route phone calls, take messages, and provide information as needed.
• Manage the front desk area, ensuring it is clean and welcoming.
• Administrative Support:
• Handle incoming and outgoing mail and packages.
• Schedule and coordinate appointments, meetings, and conference rooms.
• Maintain and update contact lists and departmental schedules.
• Communication and Coordination:
• Communicate effectively with staff, students, and external stakeholders.
• Coordinate with other departments to ensure smooth operations and address any issues or needs.
• Assist in the preparation and distribution of internal communications and reports.
• Customer Service:
• Address inquiries and resolve issues promptly and professionally.
• Provide information about institution services, policies, and procedures.
• Fees Collection:
• Process and record payments for various fees (e.g., tuition, registration) from students, parents, or other parties.
• Issue receipts and maintain accurate records of transactions.
• Reconcile cash and payment records on a regular basis.
• Address and resolve any discrepancies or issues related to fee payments.
• Vacancy Collection:
• Liaise with companies to collect information on available vacancies or job opportunities related to the institution.
• Maintain a database of job vacancies and ensure it is updated regularly.
• Assist in the coordination of job fairs or recruitment events.
• Record Keeping and Documentation:
• Maintain accurate records and files related to office operations, fees, and vacancies.
• Process and file documents, including forms, reports, and correspondence.
• Security and Safety:
• Monitor visitor access and maintain security protocols.
• Ensure compliance with institution safety policies and procedures.
