Job Description
Key Responsibilities:
Greeting Visitors: Welcome and direct all visitors, ensuring they are comfortable and properly attended to.
Phone Management: Answer phone calls, take messages, and redirect calls to appropriate departments or individuals.
Scheduling: Assist in scheduling meetings and appointments, maintaining office calendar and conference room bookings.
Mail Handling: Receive, sort, and distribute incoming mail and packages. Prepare outgoing mail and courier packages.
Administrative Support: Provide general administrative support, such as filing, scanning, and preparing documents as needed.
Office Supplies Management: Monitor and maintain office supplies inventory, ordering new supplies when necessary.
Client & Vendor Interaction: Handle inquiries from clients, vendors, and other external parties in a professional manner.
Data Entry & Record Keeping: Ensure the accurate entry of visitor logs, contact details, and other important information into the company database.
Maintain Cleanliness and Order: Ensure the reception area is tidy and organized at all times.
Hotel and Travel Arrangements: Manage travel bookings for staff and visitors, including:
o Coordinating hotel reservations based on staff or guest preferences and company budget.
o Booking flights, rental cars, and ground transportation for business trips.
o Ensuring travel itineraries are accurate and timely communicated.
o Handling special requests or preferences for travel accommodations.
Expense Reports: Assist with processing travel-related expense reports and receipts.
Key Requirements:
· Education: High school diploma or equivalent; Associate's degree or relevant certifications preferred.
· Experience: Previous experience as a receptionist or in a customer-facing role is a plus. Experience with travel arrangements or event coordination is highly desirable.
Skills:
· Strong verbal and written communication skills.
· Proficient in Microsoft Office Suite (Word, Excel, Outlook).
· Multitasking and organizational skills.
· Excellent customer service and interpersonal skills.
· Ability to handle sensitive information with discretion.
· Professional phone etiquette.
· Experience in booking travel and hotel accommodations is preferred.
· Familiarity with travel booking platforms (Expedia, Booking.com, etc.) and corporate travel policies.
Preferred Attributes:
· Experience with office equipment (fax machines, copiers, etc.).
· Knowledge of office management systems and procedures.
· Bilingual (depending on the company’s client base).
· Understanding of corporate travel policies and budgeting.
Pay: ₹9,381.96 - ₹22,208.09 per month
