Responsibilities

This position reports to the clinic manager and oversees the work of Front Desk Assistant/Therapy Aide position(s) at location

The Front Desk Manager is responsible to ensure a professional and cohesive service delivery and a positive patient experience

General duties are answering incoming calls, directing calls to appropriate staff or taking messages and delivering to appropriate staff in a timely manner, greeting and checking in all patients for office appointments, including paperwork ( electronic and paper) for patients to fill out, scanning insurance cards, entering all demographic information into the electronic medical record (EMR) the day it is received accurately, entering referrals for office visits into EMR, scanning for staff as needed, and working closely with physicians and staff

You must be able to memorize and manage a complex schedule

Other duties as assigned

Understands chain of command and follows change of command within organization

Project management skills important

Greets and directs all patients within the practice

Obtains patient demographic and insurance information; verifies at each visit insurance and enters new and change information into EHR

Identifies if prior authorization is needed for requested services

Complete verification process data sheet and upload and enter into Fusion

Requests prior authorizations as required by payers and enters into Fusion software

Scans pertinent patient information into EHR including patient authorizations, referrals

Assess and collect any co pays, co insurance, deductible or past due balances from guarantor at each visit

Patient record is to be documented of nature of uncollected balances/new patient debt

Obtains guarantor documents for medical records release (HIPAA compliance) and secures guardian written agreement is someone other than guardian or legal parent is to drop off or pick up a minor child

Unknown persons are to show state issued ID prior to releasing a child; patient record is to be documented

Document and manage Plans of Care for each evaluation or re-evaluation service to ensure therapists transmit to prescribing MD/PA/ANP within 3 business days; once weekly, assess their signed return send notification

Make sure EHR is in compliance with dates for POC and Evals

Schedules any necessary appointments after completion of patient visit

Monitor and review patient schedules for filling appointments with wait list patients

Identifying and resolving minor patient billing complaints

Assess inventory and orders, receives and stocks office and therapy supplies weeks before running low

Maintaining cleanliness of waiting room and treatment areas (all common clinic areas)

Assists other Front Desk/Therapy Aides as needed

Must cross-train and may assign shared duties to Front Desk Assistant/Therapy Aides

This includes but in not limited to check in process, scheduling, intake process, obtaining and documenting insurance verifications and authorizations

Works directly with the CEO and assists with many tasks and projects

Other duties as assigned by CEO
