Duties
Greet and assist clients and visitors in a friendly and professional manner.
Manage incoming calls through multi-line phone systems, ensuring effective communication and proper phone etiquette.
Schedule appointments and manage calendars for staff members, demonstrating strong time management skills.
Perform data entry tasks accurately, including filing and maintaining client records.
Utilize Microsoft Office and Google Workspace for document preparation, correspondence, and scheduling.
Provide clerical support including proofreading documents, managing office supplies, and maintaining an organized workspace.
Assist with bookkeeping tasks as needed, including basic accounting functions using QuickBooks.
Deliver outstanding customer support by addressing inquiries and resolving issues promptly.
Collaborate with team members to ensure smooth office operations while adhering to organizational policies.
Requirements
Previous experience in an office setting or as a receptionist is preferred.
Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
Excellent typing skills with attention to detail for data entry tasks.
Familiarity with QuickBooks is a plus but not mandatory.
Strong customer service skills with a focus on client satisfaction.
Bilingual abilities are highly desirable to enhance communication with diverse clientele.
Experience in dental or medical reception is advantageous but not required.
