Job Description: Front Office Executive.

Job Summary: As a Front Office Executive at our digital marketing company, you will be responsible for providing administrative support and ensuring smooth operation of the front office. Your primary role will be to manage the reception area, greet visitors, answer phone calls, and perform various administrative tasks. Additionally, you will provide assistance to senior executives and perform general office duties to contribute to the efficient functioning of the organization.
Responsibilities:
Reception Duties:
Greet visitors, clients, and guests in a professional and friendly manner.
Answer phone calls, screen and direct calls to the appropriate personnel.
Handle inquiries and provide accurate information about the company's services.
Manage the reception area, ensuring it is clean, organized, and well-maintained.
Receive and distribute incoming mail and packages.
Administrative Support:
Provide comprehensive administrative support to senior executives and staff.
Schedule and coordinate appointments, meetings, and conferences.
Maintain calendars and ensure all appointments are properly scheduled and updated.
Prepare and distribute internal memos, emails, and other correspondence.
Assist in travel arrangements, including flight bookings, hotel accommodations, and transportation.
Office Coordination:
Manage office supplies and inventory, ensuring availability of necessary materials.
Coordinate with vendors for office equipment maintenance and repairs.
Assist in the preparation of reports, presentations, and other documents.
Collaborate with other departments to ensure effective communication and coordination.
Maintain confidentiality and handle sensitive information with integrity.
Miscellaneous Tasks:
Handle basic bookkeeping tasks, such as managing petty cash and expense reports.
Assist in organizing company events, meetings, and team-building activities.
Support HR department with onboarding new employees and maintaining employee records.
Contribute to the overall tidiness and cleanliness of the office space.
Perform other duties as assigned by the management.
Requirements:
Minimum 2 years of experience as a Front Office Executive or in a similar role.
Excellent communication skills, both written and verbal.
Proficient in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint) Is a must.
Strong organizational and multitasking abilities.
Attention to detail and problem-solving skills.
Professional appearance and conduct.
Ability to handle a fast-paced environment and work under pressure.
Knowledge of digital marketing industry and terminology is a plus.
Bachelor's degree or equivalent qualification is a must.
Working hours: Monday – Friday (8.00 am – 6.00 pm)
