We are seeking a dynamic and professional Front Office Coordinator to join our team. The ideal candidate will be the first point of contact for visitors and clients, providing exceptional customer service and ensuring a positive experience. The Front Office Coordinator plays a crucial role in maintaining a well-organized and efficient front desk, handling administrative tasks, and contributing to the overall smooth operation of the office.
Key Responsibilities:
Customer Service:
• Greet and welcome visitors, clients, and employees with a friendly and professional demeanor.
• Answer and direct incoming phone calls promptly and courteously.
• Respond to inquiries and provide accurate information or route calls to the appropriate personnel.
Administrative Support:
• Manage the reception area, ensuring it is clean, organized, and presentable.
• Handle incoming and outgoing mail, packages, and deliveries.
• Maintain and update contact lists, ensuring accuracy and completeness.
Appointment Scheduling:
• Schedule and coordinate appointments, meetings, and conference room reservations.
• Communicate effectively with team members to ensure smooth scheduling and avoid conflicts.
Documentation and Record Keeping:
• Maintain and update office records, including visitor logs and employee directories.
• Assist with data entry tasks and ensure accuracy in record-keeping.
Communication:
• Relay important messages to relevant personnel in a timely manner.
• Collaborate with other departments to facilitate effective communication within the organization.
• Problem Resolution:
• Address and resolve routine issues and inquiries, escalating more complex matters to the appropriate department.
Qualifications:
• High school diploma or equivalent; additional education or certification in office administration is a plus.
• Proven experience in a front office, reception, or customer service role.
• Excellent communication and interpersonal skills.
• Proficient in using office equipment, including multi-line phone systems and basic computer applications (Microsoft Office Suite).
• Strong organizational and multitasking abilities.
