Job Description
The receptionist will play a vital role in creating a positive experience for our patients from the moment they walk through the door or call the clinic. The ideal candidate will have excellent communication skills, a warm and friendly demeanour, and the ability to multitask efficiently in a fast-paced environment. A key component of this role includes administrative support for our IV therapy services, ensuring patients receive the best care and attention throughout their treatment process.
Duties
Greet and welcome patients, creating a warm and professional atmosphere.
Answer phone calls and respond to emails, scheduling appointments, and managing inquiries in a timely and courteous manner.
Oversee patient check-ins and check-outs, ensuring all necessary forms are completed and information is up to date.
Handle payments, process transactions, and manage insurance-related documentation.
Maintain patient records, ensuring accuracy and confidentiality in compliance with clinic policies.
Manage the clinic’s schedule, coordinating appointments for naturopathic doctors, acupuncture, IV therapy, and other services.
Support clinic operations by maintaining inventory of office supplies, supplements and ordering as needed.
Keep the reception area tidy and organized, creating a calming and professional space for patients.
Assist with patient communication, providing information about clinic services and ensuring follow-up appointments are scheduled.
Provide administrative support for IV therapy, such as organizing patient charts and ensuring supplies are ready for appointments.
Assist the clinical team with administrative tasks as needed, including preparing patient forms or following up on inquiries.
Occasionally take vitals and assist in patient preparation for IV therapy (training provided).
Qualifications
Previous experience as a receptionist or in a customer service role, preferably in a healthcare setting.
Experience with EMR and CRM systems. Such as Janeapp
Familiarity with IV therapy or an interest in learning about naturopathic and IV treatments is an asset.
CPR certification and the ability to take vitals (e.g., blood pressure, pulse) are considered assets.
Strong communication and interpersonal skills.
Ability to multitask and manage time effectively.
Attention to detail and a commitment to patient confidentiality.
Proficiency with MacOs and clinic management software (training will be provided).
A friendly, compassionate, and professional attitude.
Job Types: Full-time, Part-time, Fixed term contract
Contract length: 12 months
Pay: $17.60-$21.00 per hour
Expected hours: 30 – 40 per week
