The Opportunity
This role is central to the success of the Advancement Department. You will ensure the accurate, compliant, and efficient management of donor data and gift processing, while supporting Advancement events and team operations. This position is well-suited for someone who thrives on precision, values teamwork, and enjoys improving systems to make them work better tomorrow than they did today.
Key Responsibilities
Gift Processing & Data Integrity
Process and record all gift types (cash, checks, credit cards, wires, securities, pledges, matching gifts) with exceptional accuracy and attention to detail.
Reconcile Advancement gift records with the Business Office to ensure complete and consistent financial reporting.
Code and track gifts to ensure donor intent, recognition, and reporting are accurate and complete.
Acknowledgment & Stewardship Support
Generate timely, accurate, and personalized gift acknowledgments, tax receipts, tribute notifications, and pledge reminders.
Partner with Advancement colleagues to ensure donors receive consistent, professional communication.
Donor Data Management
Enter, update, and maintain donor records, gift histories, appeals, and allocations with meticulous precision.
Manage annual database updates and ongoing data hygiene.
Research and update records for lost, inactive, or deceased constituents as needed.
Safeguard the confidentiality and security of donor information at all times.
Reporting & Analysis
Produce reports, queries, data exports, lists, dashboards, and other analytics to support fundraising strategy, benchmarking, and audits.
Ensure data consistency across Advancement and the Business Office.
Event & Team Support
Provide logistical and administrative support for Advancement events, including registrations, guest lists, name tags, research, on-site support, and other event coordination.
Staff major Advancement programs such as Reunion, Parents’ Weekend, and other key events.
Continuous Improvement & Collaboration
Identify and implement opportunities to improve processes, workflows, and data quality.
Collaborate closely with the Advancement team to support shared goals and smooth operations.

Qualifications & Strengths
Bachelor’s degree required.
Experience with fundraising operations and charitable giving practices preferred.
Prior experience with Raiser’s Edge (or a similar constituent database) preferred, especially for gift processing, reporting, and data management. BUT WE ARE WILLING TO TRAIN!
Strong organizational skills with the ability to manage competing priorities.

Provide excellent customer service to donors and constituents.

Meet the physical demands of the role, including standing for extended periods, navigating stairs and uneven terrain, and lifting up to 40 pounds.
The rate of pay for this position is $27.00 to $30.00 per hour. This range represents our good-faith estimate for this position. We consider additional factors such as education, experience, skills as well as the needs of the School at the time of the offer. All job offers are contingent upon the candidate's successful completion of a background & fingerprint check, reference check and pre-employment screening as applicable.
