The Role
The Gift Processor plays a key role in strengthening donor relationships by ensuring timely and accurate entry of donor information into the Raiser’s Edge NXT constituent database. This position is responsible for gift processing, supporting tax receipting, and assisting with reconciliation activities. The role requires a high level of professionalism, confidentiality, and attention to detail.


As a member of the Fund Development team, the Gift Processor works closely with the Database Specialist and collaborates regularly with the Finance Team and Manager, Fund Development.

Key Roles & Responsibilities
Donor Data Entry & Gift Processing
Accurately and promptly process and record all mail, in-shelter, and online donations and lottery purchases in Raiser’s Edge NXT. This includes daily and monthly gifts, tax receipting support and donor follow-up for required information.
Process contributions received through various payment methods, including cash, cheque, credit card, debit, electronic fund transfer and online platforms such as RallyUp, Benevity, and CanadaHelps.
Maintain and update donor and constituent records, including contact details and gift information; create and merge records as needed and proactively follow up on expiring credit cards.
Ensure adherence to gift acceptance and receipting policies and CRA regulations, and review and approve data entry for additional revenue sources such as sponsorships and non-cash gifts (Gifts in Kind).
Financial & Database Reconciliation
Perform regular (weekly, monthly, and annual) reconciliation between Fund Development and Finance teams, including tax receipting support and batch totals.
Routinely review, update and maintain database records to ensure data accuracy and integrity.
Apply knowledge of generally accepted accounting principles in reconciliation processes.
Administrative Support
Assist in updating gift processing policies and procedure manuals as required.
Provide support for the Fund Development main phone line, inbox and events.
Track bequest information, including file management (electronic and hard copy), data entry and reporting.
Provide additional administrative support as needed.
Other duties as assigned.
Education & Requirements
High school diploma is required; completion of job-related coursework or relevant internal training is considered an asset.
One to two years of relevant experience is required, including approximately two years of data entry experience.
Experience using Raiser’s Edge NXT in a similar environment is considered an asset.
Previous experience working within a non-profit organization is considered an asset.
Skills & Abilities
The ideal candidate will demonstrate a strong understanding of fundraising best practices, policies, processes, and procedures, along with knowledge of generally accepted accounting principles. They will possess exceptional attention to detail and accuracy in data entry, ensuring the integrity of donor records and financial information. The successful candidate will handle confidential information with a high level of professionalism and discretion and exhibit effective communication skills, with the ability to provide routine assistance and clearly share technical or administrative information as required.

Compensation & Benefits
The role is classified in Pay Band 3, with a pay range of $45296.99–$59342.40 per year, commensurate with the successful candidate’s education and experience.

Hours of Work
Standard hours: 40 hours per week; however, this position is expected to work the hours necessary to fulfill departmental responsibilities.
Telecommuting or flexible work arrangements may be available for this role; details will be discussed during the hiring process.
Flexibility may be required for evenings, weekends or special events.
