Group Business Coordinator

Deputy Chief Executive (Policy) Group and Office of the Chief Executive.

We're looking for a highly capable Group Business Coordinator to join the Deputy Chief Executive - Policy (DCEP) Group and Office of the Chief Executive (OCE). This is a Coordination role supporting governance processes, senior leaders, major Ministry events, and critical business functions across multiple divisions.

About the role - Korero mo te turanga

As the Group Business Coordinator, you will provide high-level administrative, governance, and coordination support across DCEP, OCE, Audit Risk (AUR), Strategy Performance (SAPD) and wider MFAT.

You will be trusted with sensitive information, support the smooth running of governance committees, coordinate major Ministry events, and ensure business processes run efficiently and accurately. This role is a key hub for the Group-supporting senior leaders and contributing directly to Ministry-wide initiatives.

Governance Leadership Support

Coordinate multiple monthly governance committees senior leadership meetings
Manage agendas, papers, logistics, and secure handling of classified material
Support the Ministry Issues Meeting (MIM)
Business Administrative Support

Provide specialist advice on policies, processes, and workflows
Manage mailboxes, track actions, prepare reports, maintain documentation
Assist with submissions, briefs, correspondence, and intranet content
Support recruitment and induction within the Group
Event Project Coordination

Support delivery of major internal events
Coordinate logistics, venues, catering, and documentation
Provide secretariat support for panels and selection committees
Financial Administration

Support budgeting, forecasting, and financial reporting
Process invoices and ensure procurement compliance
Prepare monthly financial packs and variance reports
Strategic Initiative Fund (SIF) Administration

Manage the SIF, a contestable fund
Track bids, budgets, reporting, and fund governance
Travel Coordination

Arrange domestic and international travel, visas, approvals
Maintain travel plans and monthly expenditure reporting

The full salary range for this role is $64,940 and $82,979 total remuneration, inclusive of our 3% KiwiSaver employer contribution.

Strong candidates will be experienced senior administrators/coordinators with a proven track record delivering in a complex workplace. You will bring the credibility, influence, adaptability and integrity.

What you'll bring

3+ years' experience in senior administration/ coordination roles
Outstanding attention to detail and accuracy
High integrity and discretion when handling classified information
Strong organisation and prioritisation skills
Governance/secretariat experience
Confident communication skills; strong document formatting
Financial administration experience (budgeting/reporting)
Microsoft and systems capability (Excel, SharePoint,)
Event or project coordination expertise desirable
Public-sector experience desirable
Tertiary qualification in business/management desirable
Understanding of The Treaty of Waitangi/Te Tiriti, Te Reo Maori and Maori customs and protocols would be beneficial
