Hours: 24 hours between 08:30am to 17:30pm Tuesday, Wednesday, Thursday

Our unique Client management model connects building owners (Clients) with occupiers (Customers) to generate cash from underutilised office space in all types of buildings from Aberdeen to Brighton. What will you do?
The purpose of the Guest Experience Coordinator role is to act as the primary point of contact for all customers and visitors to the centre.The role is responsible for delivering a consistently warm, professional and hospitality led welcome, ensuring every interaction reflects the brand and creates a positive, memorable experience.
Acting as the face of the centre, this role plays a critical part in customer satisfaction, community engagement, and the smooth day to day running of reception and front of house operations.
The Guest Experience Coordinator supports the wider centre team by ensuring operational standards are maintained, information flows efficiently, and guests feel valued, supported and well looked after at all times.

Front of House & Guest Experience
Deliver a professional, friendly and engaging welcome to all customers, members, clients and visitors.
Act as the primary reception presence, ensuring the front desk is always staffed, organised and presented to the highest standard.
Manage visitor sign in procedures in line with company policies and security requirements.
Handle incoming calls, emails and general enquiries promptly and professionally.
Maintain a strong working knowledge of the centre, its customers, services and facilities to confidently answer queries.
Build positive relationships with customers and community members, recognising regular visitors and anticipating needs where possible.
Proactively resolve queries and issues at first point of contact, escalating where required.
Always maintain exceptional standards of presentation across reception, communal and front of house areas.
Customer Support & Community
Support customer move-ins, onboarding and day one experiences to ensure a seamless and welcoming transition into the centre.
Assist with customer communications, notices and updates as required.
Support events, meetings and community activities, including welcoming attendees and providing front of house assistance.
Act as an ambassador for the centre culture, fostering a friendly, inclusive and community driven environment.
Capture informal customer feedback and share insights with the centre leadership team
Operational Support
Support the centre team with day-to-day operational tasks as required.
Assist with meeting room readiness, ensuring rooms are set up, clean and presentable prior to bookings.
Monitor shared spaces and report any maintenance, cleanliness or presentation issues promptly.
Support administrative tasks including logging requests, updating systems and maintaining records where required.
Work collaboratively with Experience & Events and Operations teams to ensure seamless service delivery.
Health & Safety
Maintain a working knowledge of the NewFlex health and safety policy and procedures.
Support the completion of daily checks and iAuditor tasks as required.
Act as a point of contact for reporting accidents, incidents and near misses, completing required documents and escalating appropriately.
Support emergency procedures, including evacuations, as required.
Compliance
Ensure the centre operates in line with company policies, procedures and processes.
Maintain up to date knowledge of GDPR and AML legislation and ensure the business follows mandatory requirements
Escalate identified issues and risks to the Centre Experience and Commercial Manager
Validating customer identification to ensure adherence to AMLR policy
Support compliance processes including customer documentation handling where appropriate.

Knowledge & Experience
Previous experience in a receptionist, front-of-house, hospitality or customer service role.
Experience working in a customer-facing environment with high service expectations.
Confident user of Microsoft Office 365 (Word, Outlook and basic Excel).
Qualifications
Minimum Grade C in English and Maths (or equivalent)
