Job Description
Key Responsibilities:
Administrative Support
• Manage and maintain detailed records of service requests, work orders, maintenance schedules, and inventory.
• Oversee the accurate documentation of repairs, inspections, and preventive maintenance.
• Schedule and prioritize repair and maintenance work for mechanics based on customer needs and shop capacity.
• Ensure compliance with safety regulations and documentation requirements (e.g., NSC, CVOR).
Inventory and Resource Management
• Monitor and manage shop supplies, tools, and equipment inventory.
• Assist in sourcing and ordering parts or tools as required.
• Ensure the proper organization and cleanliness of the shop.
Compliance and Safety
• Track deadlines for inspections, certifications, and permits to ensure compliance.
• Ensure all documentation meets regulatory standards for heavy-duty vehicles (e.g., annual inspections, emissions compliance).
• Support the Health and Safety Officer in maintaining workplace safety protocols.
Qualifications: Education and Experience, Skills and Competencies
• Graduate in engineering or vocational training in mechanical or automotive or a related field is a plus.
• 2+ years of experience in an administrative role, preferably in a mechanic shop, transportation, or logistics environment.
• Familiarity with heavy-duty vehicles, parts, and maintenance processes is an asset.
• Strong organizational and multitasking skills with attention to detail.
• Adaptable and able to handle changing priorities.
