Job Description
Seeking a highly organized, dependable, and detail-oriented professional to support the Student Activities Coordinator and Associate Principal. This position requires strong follow-through, clear communication, and the ability to manage multiple logistics at once.
This position may include coverage of class(es) or student supervision as needed, including chaperoning day and/or overnight trips.
Responsibilities and Essential Job Functions
Coordinate logistics for student clubs, initiatives, academic competitions and activities, including schedules, meeting locations, materials, and attendance.
Maintain accurate records and documentation for clubs, initiatives, academic competitions, and student participation.
Manage calendars, timelines, deadlines, and internal communications related to student activities.
Assist with on-campus events by handling set-up, schedules, location coordination, materials, and day-of execution.
Support planning and coordination of off-campus trips, including transportation, permission forms, rosters, chaperone coordination, and parent communication.
Serve as a point of contact for logistical questions from students and faculty & staff advisors.
Support faculty & staff advisors by ensuring procedures and requirements for clubs and activities are followed consistently.
Track tasks and follow up to ensure all components of events and activities are completed on time.
Ensure compliance with school policies, safety procedures, and handbook guidelines related to student activities.
Assist with student leadership activities by coordinating logistics and schedules under the direction of the Student Activities Coordinator and the Student Council Advisor.
Perform routine operational tasks that support the smooth functioning of student activities programming.

Qualifications The Student Activities Assistant should hold a minimum of a bachelor’s degree. Minimum of 3–5 years of experience in a school or student programming environment preferred. Demonstrated strength in organization, time management, and attention to detail. Proven ability to manage logistics, schedules, and multiple tasks simultaneously. Clear and effective written and verbal communication skills. Comfortable using digital tools for scheduling, communication, and record-keeping. Ability to work collaboratively while taking direction and meeting defined expectations. Reliable, punctual, and consistent in completing responsibilities.
