Join the Webster Services Team – HR & Accounts Administrative Assistant

Webster Services is a family-owned and registered NDIS provider, delivering high-quality, person-centred support in disability services, and we are expanding into aged care. Our services include domestic cleaning, gardening, and general support.We are seeking a confident, energetic, and reliable all-rounder to join our small, collaborative HR and admin team. This position is ideal for someone who enjoys variety, is highly organised, and can contribute to the smooth running of a busy, growing business—while helping maintain compliance with NDIS standards.About the RoleThis role focuses on supporting HR, accounts, general administration, and compliance, working closely with management and the existing admin/HR team. You will assist in HR processes, deliver correspondence, help maintain accurate records, and ensure compliance within the scope of NDIS standards. Peninsula provides expert HR advice and documentation, which you will implement as part of the team.This is not a standalone HR role; you’ll collaborate with the team to ensure processes are completed accurately, efficiently, and in line with legislative and audit requirements.Key Responsibilities
Assist with recruitment, onboarding, and employee records
Extract data for invoicing and complete accurate entry in Xero
Support payroll preparation through data checks and record accuracy
Answer phones and respond to enquiries professionally
Manage multiple shared email inboxes, as well as your own
Assist with client onboarding and intake documentation
Prepare and manage NDIS service agreements with accuracy
Handle client and employee enquiries and complaints professionally
Deliver HR correspondence, advice, and documentation provided by Peninsula
Assist with scheduling and coordination to support productivity and service delivery
Maintain compliance within the scope of our NDIS registration and audit requirements
Data entry, document preparation, and client file management
Provide general administrative support across the organisation
Maintain confidentiality and uphold high customer service standards
What We’re Looking For
Previous experience in administration and/or accounts
Strong working knowledge of Xero ((preferred but not essential)
A confident all-rounder capable of managing multiple business functions
High attention to detail and strong organisational skills
Energetic, proactive, and able to take initiative
Reliable, punctual, and able to meet deadlines
Strong communication skills, including handling sensitive matters professionally
Ability to work collaboratively as part of a small team
Knowledge of or willingness to learn compliance processes for NDIS audits
Ability to manage competing priorities in a fast-paced environment
Requirements
National Police Check (or willingness to obtain)
NDIS Worker Screening Check (or willingness to obtain)
Driver’s Licence
