Position title: HR Admin Assistant
Department: HR Admin
Reports to: HR Manager
Direct reports: No. This is an individual contributor role.
Job Location: Chr. Hansen India Private Limited office Andheri East, Mumbai
HR Role and responsibility:
· Keeps records of human resources activities, including any new hires, engagement programmes, training programmes/ workshops.
· Organizing Mediclaim insurances, medical check-ups for employees
· Familiarizes new hires with company culture and practices. Organizing induction programmes. Organizing employee self-service or any such internal accounts relevant for new hires.
· Keeps knowledge of human resource department practices up to date by taking part in any workshops or other educational meetings and reading any new materials.
· Familiarizing new employees with company practices
· Administering programs for employee benefits
· Assisting HR Manager in day-to-day HR administrative work
· Maintain employee records (soft and hard copies). Updating personnel files, maintain HR databases , helping with relevant reports on timely basis (e.g. new hires, separations, leaves reports)
· Assist in payroll preparation by providing relevant data, like absences, leaves
· Prepare paperwork for HR policies and procedures. Prepare reports and presentations for internal communications
· Process employee’s requests and provide relevant information
· Coordinate HR projects, meetings and training seminars
· Collaborate with the Recruiter for hiring requirements. Scheduling candidate interviews. Maintaining relevant database
· Provide orientations for new employees by sharing onboarding packages and explaining company policies
· Coordinate logistics for new hire orientations and employee training sessions.
Admin Role & responsibility:
· Monitors and restocks office supplies and materials, stationery,
· Manage daily administrative operations of the office and assist all units in resolving problems related to the day-to-day operations.
· Organize, assign and supervise the work of administrative support staff; to ensure that the office is kept clean and pleasant at all times;
· Ensure that administrative office procedures and established standards are adhered to and maintained in all aspects of work;
· Arrange for any maintenance work that needs to be carried out in the office; Ensure repair and maintenance of office AC servicings, Equipments, fittings & fixtures, appliances, fire and safety
· Ensure efficient service provision for in-house meetings by the administrative support staff
· Maintains office services by organizing office operations and procedures, preparing payroll, Petty cash controlling ,Time Keeping, correspondence, designing filing systems, reviewing and approving supply requisitions, and assigning and monitoring clerical functions.
· Maintains office staff by recruiting, selecting, orienting, and training employees. Maintains office staff job results by coaching, counselling, and disciplining employees, and planning, monitoring, and appraising job results.
· Managing guests, visitors, customers. Organizing requirements for any such visits.
Managing payroll of housekeeping staff members.
Skills & Competencies:
· Solid written and verbal communication skills
· Ability to work as part of a team
· Strong data entry and software management skills with excellent accuracy
· Demonstrated ability to maintain high levels confidentiality
· Tech savvy--Hands on experience with HR software, like HRIS or HRMS. Computer literacy and experience with MS Office applications. Familiar with applicant tracking database systems an asset.

Qualification & Experience:
· Proven work experience as an HR administrative assistant or HR administrator
· Associate degree like an MBA or post-graduation in HR-related field required 6-7 years of experience as an HR Admin or Graduate with 7-8 years of experience

Salary: ₹420,000.00 - ₹650,000.00 per month
