Job Description: HR and Sales Coordinator
Position Overview:
The HR and Sales Coordinator is responsible for providing support to both the Human Resources and Sales departments within an organization. This role involves managing various administrative tasks, assisting with recruitment and onboarding processes, and coordinating sales activities. The HR and Sales Coordinator acts as a liaison between the two departments, ensuring effective communication and collaboration.
Key Responsibilities:
Human Resources Support:
• Assist with the recruitment process by posting job advertisements, reviewing resumes, scheduling interviews, and conducting reference checks.
• Coordinate new employee onboarding, including preparing offer letters, conducting orientation sessions, and facilitating the completion of necessary paperwork.
• Maintain employee records and HR databases, ensuring accuracy and confidentiality.
• Assist with employee relations matters, such as employee inquiries, grievances, and disciplinary actions, in collaboration with HR managers.
• Support HR managers in coordinating training and development initiatives for employees.
• Sales Support:
• Provide administrative assistance to the sales team, including preparing sales reports, maintaining customer databases, and processing sales orders.
• Coordinate sales meetings, including scheduling, agenda preparation, and document distribution.
• Assist in preparing sales presentations, proposals, and contracts.
• Collaborate with sales representatives to ensure timely follow-up on leads, customer inquiries, and sales opportunities.
• Assist in analyzing sales data and preparing sales forecasts.
• Coordination and Communication:
• Serve as a central point of contact between the HR and Sales departments, fostering effective communication and collaboration.
• Schedule and coordinate meetings, interviews, and events involving both departments.
• Ensure that relevant information is shared promptly and accurately between the two departments.
• Collaborate with other departments, such as Finance or Operations, to address cross-functional requirements or issues.
• Administrative Tasks:
• Maintain accurate and up-to-date documentation, files, and records for both HR and Sales departments.
• Manage and prioritize incoming communication, including phone calls, emails, and mail.
• Assist in preparing and maintaining departmental budgets, expense reports, and invoices.
• Perform general administrative duties, such as filing, data entry, and office supply management.
• Qualifications and Requirements:
• Bachelor's degree in Human Resources, Business Administration, or a related field.
• Prior experience in HR or sales coordination/administration is preferred.
• Strong organizational and time management skills, with the ability to multitask and meet deadlines.
• Excellent written and verbal communication skills.
• Proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with HRIS and CRM software.
• Attention to detail and a high level of accuracy in data management.
• Ability to maintain confidentiality and handle sensitive information.
• Strong interpersonal skills and the ability to work well within a team.
• Flexibility to adapt to changing priorities and demands.
• Knowledge of relevant employment laws and regulations is a plus
Qualifications:
• Degree / Diploma in Human Resource and any related discipline, STPM or equivalent;
• Experience in HR and Admin responsibility
