Responsibilities

The HR Administrative Assistant provides administrative support to the Human Resources department, assisting with various HR functions and ensuring efficient operations

This role involves handling employee inquiries, maintaining records, and supporting recruitment and onboarding processes

The HR Administrative Assistant plays a vital role in supporting the HR team and contributing to a positive employee experience within the organization

HR Support & Administration: Maintain and update accurate employee records, ensuring data integrity in HR systems

This includes tracking employee information, benefits, and performance records, ensuring all changes are captured in real time

Assist in preparing HR-related documents such as offer letters, employment contracts, and onboarding materials

Ensure compliance with organizational policies regarding document retention and confidentiality

Support the HR team by helping implement and communicate company policies and procedures, ensuring all employees have access to the latest updates

Recruitment & Onboarding: Provide administrative support during the recruitment process by scheduling interviews, communicating with candidates and coordinating with hiring managers

Assist in tracking candidate progress through the recruitment pipeline

Organize onboarding materials for new employees, ensuring a smooth introduction to the company

Assist in conducting orientation sessions and ensuring all required documentation is completed by new hires

Employee Relations & Support: Serve as the first point of contact for employee questions related to HR processes, policies, and benefits, providing accurate and timely responses or escalating issues as needed

Assist in the planning and execution of employee engagement programs, such as wellness initiatives, employee surveys, and team-building events

HR Systems & Reporting: Ensure HR databases are up to date by accurately entering and maintaining employee information

Work with HRIS systems to ensure records are organized and easily accessible

Assist in the preparation of HR reports for management, including metrics on headcount, turnover, recruitment, and other relevant data

Compliance & Legal Requirements: Assist with ensuring compliance with labor laws and internal policies by tracking mandatory certifications, documentation, and training records

Provide administrative support during internal and external audits by organizing required documentation and ensuring accuracy in reporting

Requirements

• Associate’s or Bachelor’s degree in human resources, Business Administration, or a related field.

• 1-2 years of administrative or HR support experience preferred.

• Strong organizational skills with attention to detail.

• Excellent communication skills, both verbal and written.

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with HRIS systems a plus.

• Ability to maintain confidentiality and handle sensitive information with discretion.

• Customer-service oriented with a positive and professional demeanor.
