This role as an Import Coordinator at Califia Farms is pivotal to the success of its international supply chain operations. The Import Coordinator serves as the critical link between suppliers, freight forwarders, customs brokers, and internal departments to manage the complete flow of import/export documentation and ensure compliance with complex trade regulations. The successful candidate will be responsible for clearing shipments with U.S. Customs and Border Protection (CBP) and the Food and Drug Administration (FDA), proactively identifying and resolving potential risks or delays, and maintaining clear and efficient communication channels across stakeholders. This hybrid position is based in the vibrant Downtown Los Angeles Arts District office and requires the candidate to be onsite from Tuesday through Thursday, providing a flexible yet consistent in-office presence.
The Import Coordinator’s responsibilities include handling and processing all necessary paperwork such as bills of lading, commercial invoices, FDA Prior Notices, and packing lists. They will oversee the coordination between multiple parties involved in the logistics process to ensure timely delivery of ingredients and raw materials critical to manufacturing. By monitoring shipment status and managing issues like transit disruptions or temperature fluctuations, the Import Coordinator ensures the uninterrupted flow of supplies necessary for production. Furthermore, this role involves negotiating freight and logistics costs to optimize budgeting, maintaining meticulous records for audit and compliance purposes, and supporting internal teams by providing regular shipment updates and resolving discrepancies.
Deep expertise in U.S. import regulations, especially those related to food and beverage manufacturing, is essential. Candidates must be familiar with Harmonized Tariff Schedule (HTS) classification, valuation practices, and landed cost calculations. Experience with customs brokers, freight forwarders, and suppliers is crucial to navigating the import process efficiently. The Import Coordinator will also play a key role in managing vendor relationships and guiding the development and maintenance of a centralized documentation portal to streamline import/export compliance. Tracking key performance indicators (KPIs) such as clearance time, transit time, and ingredient availability risks will be part of ongoing responsibilities aimed at continuous improvement.
Strong communication skills, cross-functional collaboration, and high attention to detail are vital for success in this position. In addition, proficiency with Excel, enterprise resource planning (ERP) systems, and food safety platforms like TraceGains is required to manage data accurately and efficiently. Because the role involves occasional coordination with teams across different time zones, availability for early morning or evening calls may be necessary.
The salary range for this full-time role is between $28.00 and $29.00 per hour, with the actual salary based on location, skills, and experience.
