Opportunity
The Information Management Assistant plays a key role in supporting operational efficiency by creating, maintaining, and organizing business documentation. This includes policies, procedures, process guides, training materials, and internal knowledge bases. This role involves working closely with cross-functional teams to gather information and translate it into clear, user-friendly documentation. The ideal candidate is detail-oriented, tech-savvy, and skilled at converting complex workflows into actionable processes.
Note: This is for a temporary, summer contract with the Alberta Cancer Foundation. This role is funded through Canada Summer Jobs (CSJ) program. How You'll Contribute
Operational Excellence & Efficiency
Support the implementation of continuous improvement initiatives aimed at Policy & Procedure process improvements.
Meet with stakeholders and subject matter experts (SME) to gather information, validate content, and document current business processes.
Support the review and streamlining of operational workflows to enhance productivity and overall operational performance.
Assist in drafting and maintaining accurate and up-to-date documentation for internal business processes, workflows, and policies.
Support process review and change management activities by preparing documentation, training materials, and communication plans.
Create process documentation, including flowcharts, SOPs, and training materials.
Track, and report on documentation & change requests using project management tools (e.g., M365 Planner)
Assist in the development and implementation of automated IT application workflows that enhance information management processes, and overall efficiency.
Contribute to or support projects within the organization, based on alignment with the organizational structure and project objectives. Collaborated with Stakeholders to build Terms of Reference and support the operation of each project team.
Information Management
Format and standardize documents according to internal brand guides and compliance requirements.
Maintain a centralized SharePoint repository for operational and strategic documentation, ensuring appropriate retention & review schedules, version control and accessibility.
Support the development and maintenance of information management processes, helping to organize and manage digital assets, documentation, and resources. (e.g., SharePoint, M365 Lists).
Collaborate with IT and Information Management teams to ensure that data systems and technology tools align with operational needs and are functioning efficiently.
What You'll Bring to the Team
Since the Government of Canada has funded this job through the Canada Summer Jobs Program, applicants must be between the ages of 15-30 and legally entitled to work in Canada. This includes Canadian Citizens, permanent residents, or persons on whom refugee protection has been conferred. International students are not eligible.
Bachelor’s degree in Business Administration, Communications, Information Management, or a related field. 3 + years of experience in documentation, technical writing, or business support roles may be considered.
Strong writing, editing, and formatting skills. Experience with policy writing or compliance documentation.
Proficiency with documentation tools in the M365 environment. (e.g., Microsoft Office, Adobe Acrobat, SharePoint)
Familiarity with process mapping tool Visio
Excellent organizational and time management skills.
Ability to work independently and manage multiple documentation projects simultaneously.
Clear Background Check
Basic understanding of project management principles.
Basic understanding of business process improvement methodologies (e.g., Lean, Six Sigma).
