Our flagship campus is in Sydney. We also have a campus in Melbourne and co-working spaces in Brisbane, Perth and Adelaide. Due to some parts of this role needing to handle physical documents, this position requires someone to be able to attend the Sydney office on a regular basis.

What You’d Be Doing In This Role

Canva is looking for an IP Admin Assistant to be part of our highly motivated, tight-knit, and collaborative global legal team. This role will be part of the Intellectual Property Legal team and will play a vital role in contributing to the fast, challenging and rewarding work we do in our team.

The role will provide administration support to the Intellectual Property team, ensuring they are set up to work efficiently and effectively. We’re looking for someone who has a passion for IP and is willing to roll their sleeves up and get stuff done.

At The Moment, This Role Is Focused On

General Administration

File and document management: Assisting the team with file management, coordinating electronic signatures, proofreading documents and updating the team’s internal resource pages
General operational support: Working alongside a small team of Legal Assistants and our IP Paralegal to triage Legal help desk queries
Billing support: Helping with the management of e-billing software, including liaising with external counsel on invoice requirements
Internal and external meeting preparation: Scheduling invites with Zoom, booking meeting rooms and event spaces, creating agendas, taking notes and action items, coordinating and assisting with building presentation materials
Mail support: Receiving, scanning & notifying the team of mail as it comes in and arranging couriers as needed
Team activities: Handling travel arrangements and trip itineraries, organising team celebrations and offsites


Patent Administration

Providing database management support for our patent and design portfolios
Monitoring submission of invention ideas
Assisting the team with tracking & managing deadlines and renewals
Managing information and meeting requests from outside counsel
Collecting inventor information and arranging for execution of assignment deeds, declarations and powers of attorney
Coordinating our patent incentive program
Supporting the team to prepare patent-related presentations e.g. portfolio updates


You're probably a match if;

You have experience in patent and/or trade mark administration gained from a law/IP firm or in-house role, ideally
You’re proactive with a bias for action and getting things done
You have excellent communication skills and high emotional intelligence
You’re a quick learner who is comfortable working in a fast-paced, dynamic environment
You’re excited about the opportunity to have a mixture of IP and general administrative work in your role
You are tech savvy and have experience with tools like Canva, Jira, Slack and G-Suite
You love to problem solve, you can spot an inefficient process a mile away and are always looking for ways to improve a teams ways of working
You’re a natural collaborator who thrives on bringing people together and loves to be the glue to the team, bringing positivity and enthusiasm to all parts of the role
