Job Summary:
The Vendor Coordinator will be responsible for aggressively sourcing, vetting, and onboarding subcontractors across Landscaping, Plumbing, Electrical, HVAC, GC, Handyman, Sewer services, etc
This role demands proactive outreach, including high call volumes, negotiations, and follow-ups to secure reliable vendors efficiently. The ideal candidate is an excellent communicator, results-driven, and detail-oriented, with the ability to ensure vendors meet compliance and background standards.
Key Responsibilities: Vendor Sourcing & Outreach
1. Source, evaluate, and hire qualified subcontractors to meet the company's project needs.
2. Make high-volume outbound calls daily to identify and recruit qualified subcontractors.
3. Reach out via phone, email, text and other platforms to create a robust vendor pipeline across all required services.
4. Develop and maintain a database of subcontractors, including contact details, service areas, and type.
5. Follow up persistently to confirm interest and onboard potential vendors.
6. Ensure all subcontractors adhere to company standards and vetting guidelines.
7. Negotiate competitive pricing and service terms to align with company budgets and quality expectations.
8. Verify subcontractors *** offender checks.
+. Ensure proper documentation, including licenses, insurance is current and valid.
10. Communicate clearly and professionally with vendors regarding project expectations and schedules.
11. Record all call interactions, onboarding statuses, and vendor responses in a centralized system.
12. Explain company processes, work scopes, and expectations clearly to subcontractors during onboarding.
13. Address vendor concerns, questions, and objections professionally to ensure successful engagement.
14. Provide daily and weekly reports on outreach efforts, including call volumes, vendor conversions, and onboarding success rates.
15. Flag gaps in vendor coverage and create strategies to address them.
16. Work closely with internal teams (e.g., project coordinators, and leadership) to identify subcontractor requirements.
