The Role
We’re looking for a proactive Junior Administration Assistant to support our Business Operations Manager and wider Operations team. This role plays a key part in keeping our internal systems, data, and processes running smoothly, providing dependable support across the business.
You’ll help maintain efficient operations through a mix of administrative coordination, data entry, compliance tracking, and internal communications. Working closely with teams across the business, you’ll be the go-to person for dependable, organised support that helps things run seamlessly behind the scenes.
This is a collaborative and varied role where attention to detail and strong communication skills are key. You’ll work across multiple systems and support business-wide initiatives that contribute to a positive, well-organised workplace.
Day to day responsibilities include:
Provide responsive, professional administrative support to the Operations team
Schedule meetings, manage calendars, take minutes, and follow up on actions
Monitor shared mailboxes, respond to or redirect enquiries appropriately
Coordinate travel bookings, catering, and logistics for meetings or events
Assist with onboarding checklists, induction coordination, and staff support activities
Maintain accurate records and filing systems in SharePoint and Nexus
Update operational spreadsheets, registers, and dashboards
Support expenditure reporting and credit card reconciliations
Assist with compliance registers, certifications, and document control
Contribute to the preparation of internal communications and process updates
Provide coordination support for operational initiatives and internal events
Administer and maintain the portals that Northrop utilises, including the travel portal and various tendering and compliance portals.

It is essential that you have demonstrated experience as a Sustainability Consultant in the built environment consulting field, including project management, building sustainability design and delivery of ESD projects.
Relevant tertiary qualifications in Sustainability or Engineering.
ESD Strategy development and design thinking is essential.
Green Building Consulting and Certification Experience - As Built and Buildings are essential
NCC Section J Compliance 2026 - DTS and JV3 Modelling is essential
Modelling Experience across GHGE, Daylight, NatHERS, BASIX, Passivehaus, Parametric and LCA. NABERS Energy and Water modelling would be desirable.
Strong working knowledge of other sustainability rating tools, including the WELL Standard and the Living Building Challenge (LBC) frameworks.
Experience with Life Cycle Assessments (LCA) using E-tool or equivalent software is desirable. IES/Design Builder experience is desirable.
Job Management Skills are essential: Project Planning, good level of communication and being able to articulate complex solutions.
Client Management and consulting experience is essential, being able to demonstrate good client side thinking.
Business development and proposals experience is essential: Proposal writing, client pursuits and nurturing.
