Role
Range 3 is distinguished by the introduction of management responsibility and accountability for the delivery of professional support services. The role will usually impact beyond the work area or professional field. It seeks to gain cooperation of other staff members or members of the school community to achieve specific objectives, such as in school administration, operations or educational programs.

Direction on targets and goals is provided but the position will have some degree of latitude in determining how they are achieved. This latitude will generally be limited by standard procedures and school policy. Deviation from standard procedures and school policy will require guidance and direction from senior management.

The provision of business management responsibilities becomes a feature at range 3. Management of staff to achieve the expected outcomes is a key responsibility. Staff management issues will be resolved with minimal reference to senior management, although guidance will be required in more complex cases. Senior management will be provided with timely reports and advice, although this will generally be confined to matters relating to the immediate work area, service provision or educational program and is unlikely to impact substantially on whole of school operations.

This is the minimum range for positions that carry a mandatory qualification requirement of not less than four years. Professional student support positions become a feature at range 3 (e.g. therapists, psychologists) where standard professional services are delivered. Professional support and guidance will be close at hand and deviation from standard procedures and school policy will require guidance and direction from senior management.

An education support class position supports the educational services being provided to students, but must not include duties of teaching as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor. Supervision of students cannot be required except where it is an integral part of the employee¿s position or involves supervision of students individually or in small groups, in controlled circumstances, where the responsibility for students remains clearly with a teacher.

Responsibilities
Attendance

Undertake key tasks related to attendance follow-up requirements for the relevant Year Levels including:

The monitoring of daily absences and trends
Ensuring accurate data entry and uploading to CASES for all areas of attendance
Communicating with families regarding absences (including calls, letters, etc)
Supporting Learning Community Teams and students/families with the development of attendance improvement plans through involvement in parent meetings/phone calls
Documenting attendance support actions on Compass
Providing Learning Community Teams with attendance summaries
Communicating with relevant staff information pertaining to attendance
Working with Wellbeing Team members to support students/families with attendance and compliance with DE requirements
Suspensions

Support relevant Learning Community Teams to complete the administrative requirements of the suspension process including:

Suspension paperwork completion, communication with families and entry into CASES
Gathering and completion of any documentation required by DE related to suspensions
Work with the Wellbeing Team to assist with any referrals to external agencies
Support the implementation of internal suspension procedures
Student Enrolments and Exits

Manage student enrolment procedures including:
Supporting relevant Assistant Principal with enrolment meeting/outcome procedures
Communicating with relevant families to ensure all enrolment paperwork is submitted
Communicating with other schools/organisations and ensuring enrolment information is uploaded and accurate on CASES
Communicating with relevant staff key information regarding the enrolment of students
Documenting key information on Compass
Supporting the onboarding of new students when they begin at the school (e.g. greeting, allocation of locker, timetable, map, school email, etc)
Supporting relevant Assistant Principal with administrative tasks related to enrolment procedure which could include transition program, information evenings, open night.
Manage student exit procedures including:

Completing all student exit procedures for relevant year levels in CASES and transfer of student data to next destination
Working with Careers and Pathways team to complete any required exemption paperwork for DE
Documenting key information on Compass
Learning Community Support and Other Administrative Tasks

There are a range of administrative duties that are managed and supported by this role. These duties vary for each year level given the differences in the programs. However, this role has key responsibilities that have expected outcomes.

Administrative duties may include:

Assisting the Leading Teacher/Assistant Principal with the administration and organisation of upcoming events and activities in the relevant year level (e.g. assemblies, work experience, exams, attitude to school survey administration, camps, year level incursions/excursions)
Filing of relevant information pertaining to the Learning Community
Changing printer toner and replenishing paper supplies in relevant Learning Community space
Documentation and distribution of meeting agendas and minutes relevant to Learning Community meetings (i.e. staff, parent and student meetings)
Administrative and organisational support for whole-school events including Open Night, Parent Teacher Interviews, Pathways Information Nights, Awards Night, etc.
Other duties may include:

Supporting the relevant Learning Community Team with operational procedures (e.g. support for CRTs/Staff with IT requirements, collection of a student from a class, school uniform procedures, support for the Daily Organiser, timetable and First Aid Officer, obtaining student statements in behaviour incident follow up, Learning Community detention procedures, truancy follow-up, support Disability Inclusion Team with communication with families)
Supervising small groups of students (maximum 4) in circumstances where this may be required to support the Learning Community Team
Attending relevant Learning Community Wellbeing and Year Level/Sub-School meetings and supporting team with any administrative actions
Any administrative tasks that the Principal may require at time.

Koo Wee Rup Secondary College (KWRSC) is a large co-education public school situated in the high-growth corridor of the Southeastern suburbs with easy access to Phillip Island, Mornington Peninsula and the Melbourne CBD.

Koo Wee Rup Secondary College is going through an exciting change with a newly appointed Principal in Term 4 of 2023, and a new Principal Team formed for the beginning of 2024.

Our past and current enrolment sits around 1050 students. Many students travel by bus to attend the college. Our current staffing profile consists of the Principal, 4.4 Assistant Principals, ten Leading Teachers, six Learning Specialists, seventy-one Classroom Teachers and thirty-one Education Support Staff.
