Job description
Job Title: Legal Administrative Assistant
Duration: FullTime
Location: Tallahassee , FL (Hybrid)
Our client is seeking a dedicated and detail-oriented Legal Administrative Assistant for their Tallahassee, FL office. This full-time role involves providing comprehensive support to attorneys, working closely with other staff members in a collaborative environment. The ideal candidate will be a team-oriented professional with strong organizational and communication skills.
Responsibilities:
• Maintain strict confidentiality and discretion in handling all firm and client matters.
• Coordinate attorney workflows, delegate tasks to teams, and ensure timely, high-quality deliverables.
• Type, transcribe, revise, and proofread legal documents, prioritize assignments, and meet deadlines using internal programs.
• Compile transcripts, review, summarize, and code relevant documents.
• Prepare and process new matter forms, conduct conflict checks, and open new files.
• Enter time and expense records into InTapp Time, prepare expense memoranda, and manage documentation.
• Utilize Document Management System and Email Management System effectively.
• Manage closing documents, prepare electronic closing binders, and handle distribution.
• Organize and maintain electronic and physical file systems.
• Copy, scan, file client documents, and coordinate mailings.
• Answer phones, cover desks, and manage client billing matters, including billing letters and financial updates.
• Serve as a cross-functional point of contact for special projects and support workflow.
Qualifications:
• Ability to work independently and collaboratively.
• Excellent verbal and written communication skills.
• Strong interpersonal skills for interacting professionally with attorneys, clients, and staff.
• High level of attention to detail with excellent spelling, grammar, and proofreading skills.
• Strong organizational skills with the ability to meet deadlines and manage multiple tasks.
• Knowledge of legal terminology and procedures.
• Proficiency in document comparison software (e.g., Litera), Microsoft Office (including Styles and Schemes), PDF, Kofax, Excel, and PowerPoint.
• Ability to quickly learn and adapt to new skills and technologies.
Education and Experience:
• High School diploma or equivalent required.
• 3+ years of experience as a legal assistant, preferably in a law firm or corporate legal department.

• Position Status: Non-Exempt
• Work Arrangement: Hybrid (with manager approval)
