Job Description

We have an exciting opportunity for an experienced Legal PA to support a team of senior Lawyers and two Partners in our Projects group at our vibrant Sydney office. This high-energy role is full of variety and offers a chance to work with a growing team.

In this role, you’ll blend legal secretarial and PA capabilities, providing administrative support on front-end infrastructure and energy matters, along with sophisticated personal assistant support at a senior level. We seek someone who thrives on taking initiative, identifying team needs, executing tasks independently and engaging with clients and senior internal stakeholders. As a key member of our team, your exceptional organizational skills and keen eye for process and system improvements will play an important part in this role.

You will be joining a friendly and collaborative team of Legal PAs, with numerous opportunities to participate in firm-wide initiatives across various areas including health and wellness, diversity and inclusion, and social activities.

Key areas of focus

Support a team of lawyers with their day-to-day tasks by proactively monitoring emails, managing diaries, booking travel, processing expenses, and troubleshooting any issues that arise
Drafting and preparing correspondence, presentation slides, and other materials, and general document production by way of scanning, copying and printing
Matter administration management ensuring all emails and any hard copy documentation are accurately filed in a timely manner
Supporting the client and matter engagement process by onboarding new clients and matters, including ensuring compliance through conflict searches and anti-money laundering checks, and preparing engagement letters
Deliver excellent service to the firm's clients by building and maintaining effective relationships, developing knowledge of team clients and their business, organising client dinners and events and working closely with the Business Development team
Assist with client billing through the firm's Aderant billing system, maintain client invoicing requirements, assist with client reporting, process third party invoices, trust money, and BACS authorisations
Provide support to the PA team by providing team assistance as required


Candidate profile

At least three to four years' experience in a legal support role
Experience working within the construction, infrastructure and/or energy sectors favoured but not paramount
Strong knowledge of Microsoft Office Word, Outlook, and PowerPoint, with experience using expense management, and billing software
A confident communicator with the ability to engage with varied client and stakeholder audiences
Good written communication skills with strong attention to detail
Proactive and comfortable taking initiative when faced with new challenges
Strong organisational skills and ability to handle multiple priorities
Demonstrate a high level of discretion and confidentiality at all times
Be an effective team player and have strong interpersonal skills including confidence, positivity and the ability to gain credibility
