We are seeking an Litigation Support Clerk to join our firm on a full-time, permanent basis. This position will be responsible for providing legal and administrative support in our fast-paced environment. The successful candidate will be a detail oriented, organized individual with a working knowledge of personal injury litigation, and an interest in continuous professional development.
Overview
The Litigation Support Clerk is responsible for the front-end management of files, facility duties, legal administration and provide general assistance where required.
Key Responsibilities
Sorting, Scanning, Indexing, mailing and requesting of Documents
Management of incoming documents including mail, faxes, clinical and medical records, employment notes and records;
Request records;
Importing of documents into Electronic Document Software system;
Updating and maintenance of database records as requested;
Indexing Records according to guidelines.
File Management
Open new client files;
Filing, copying and binding of document;
Creation of documents for lawyers and law clerks;
Purging closed files for storage.
Organize and maintain file and storage room for ease of access and locating files;
Preparation of trial bag and equipment for trial;
Prepare and personalization of Client Intake Binders;
Equipment and Supplies Maintenance
Co-ordinate with IT team to ensure all printers function on a daily basis;
Update IT team of any Audio Visual Equipment issues as needed;
Inventory and Order Supplies/Stationary as needed;
Facilities
Assist with kitchen – dishwasher daily.
Inventory of supplies – office stationery, coffee, paper towel, soap, TP, etc.
Exterior – salt as needed, waste to street, property clean up as needed.
Office opening and closing checklist.
Maintain all meeting spaces.
Miscellaneous
Bank runs as required;
Support lawyers at public events;
Preparation and minute taking at meeting as required;
Provide reception coverage as required; (shared primary coverage)
Assist the legal team with other relevant tasks and duties as required.
Requirements
