MAINTENANCE ASSISTANT
POSITION OVERVIEW:
· Supports the operations of the Property and Asset Management department.
RESPONSIBILITIES:
Provide support and assistance to the maintenance administrator
Prepare and issue correspondence, reports, notices, work orders and purchase orders related to property and maintenance operations.
Receive and log maintenance calls and requests from tenants, staff or the public.
Track the progress of work orders and report back to management.
Track FLRAs and report back to management
Track progress of projects, prepare Gantt charts, and create reports for capital projects.
Act as a point of contact for tenants and contractors regarding property and maintenance-related queries.
Communicate professionally and promptly with tenants to ensure issues are addressed.
Assist with the scheduling and facilitation of required safety checks.
· Complete Visa reconciliations, create and track purchase orders and invoices.
· Schedule meetings and take minutes for various committees/meetings.
· General administrative duties as required, including ordering of supplies etc.
· Perform secretarial support including filing, screening calls, handling confidential correspondence, scheduling and general reception duties.
· Attend property sites as required.
· Work collaboratively with the Tenant Services department and build relationships to ensure coordination of work and information sharing.
· Other duties as required.
QUALIFICATIONS/EXPERIENCE:
· Completion of Grade 12
· Equivalent to completion of two years of college-level coursework in business or a field related to the work and two years of office administrative experience (preferably in property management, facilities, or maintenance).
· Minimum 2 years of demonstrated maintenance administration knowledge and experience.
· Experience and knowledge of the Building Code, Residential Tenancies Act and the Alberta Social Housing Act are an asset.
· Exemplary customer satisfaction skills, including dealing effectively with applicants, tenants, co-workers, public and management team in a professional and respectful manner.
· Proven effective communication, interpersonal and organizational skills.
· Analytical, critical thinking, multi-tasking, mathematical and problem-solving skills.
· Excellent computer skills using Microsoft applications
· Experience using Yardi or property management software is an asset.
· A proven ability to work efficiently within a high-volume environment while maintaining a high degree of accuracy is essential.
OTHER REQUIREMENTS:
· Valid class 5 driver’s license with 5 years of driving experience and clean abstract
· Acceptable criminal record check
WORKING CONDITIONS:
· Normal office conditions.
· Evenings and weekends as required
$34.97 per hour **
