The Vendor and Commercial team provide key functions within UNSWIT. These include the strategic management of contracts, vendors and partners, the development and roll out of the UNSWIT Vendor Management Framework (ITVMF), and the management of the internal financial approvals process for the raising of new IT purchase orders. Internal Audit activity has provided several recommendations to improve IT Vendor Management at UNSW. One of those is that the IT Vendor Management Framework be leveraged across the wider University to deliver an enterprise-wide risk-based approach that will define minimum standards for IT vendor management. This role will implement the recommendations of the IT Vendor Management audit report. Using vendor management and vendor governance expertise this role will update the IT Vendor Management Framework and develop the artifacts and processes to roll out the IT Vendor Management Framework across the enterprise. The successful candidate will have an understanding of IT technology, vendor management, governance and risk management, as well as the ability to apply knowledge effectively in unfamiliar situations. This position will report to the Head of Vendor and Commercial and has no direct reports.

Specific accountabilities for this role include:

Lead, develop, build and implement the solutions and frameworks required to deliver the recommendations of the audit report by Managing the full program of works and resources required to successfully implement the recommendations of the audit report and meet the required deadlines. Review and update the ITVMF to ensure it is fit for the purpose of an enterprise-wide rollout, utilising best industry practice. Develop and implement an enterprise-wide risk-based approach to define minimum standards for vendor management, including ongoing governance during the life of a contract and an easy to understand and roll out method to identify material contracts. Develop and manage the implementation of the enterprise-wide ITVMF with briefings, training, templates and artifacts and online help assets. Aligning the ITVMF to the newly developed IT Service Management (ITSM) standards to ensure consistency and alignment. Applying your extensive supplier risk experience to review current IT material contracts to identify and implement risk and issue registers where appropriate. Ensure that the ITVMF has aligned with the Contract Lifecycle Management (CLM) project which is implementing an AI assisted system that will support how UNSW manages its contractual arrangements. Working with the CLM project to ensure that ‘preferred’ and ‘fall back’ requirements are being determined adequately, considering IT risks, and legal and regulatory obligations. This activity will be stood up as a project, you will be required manage the project funding and prepare reporting on the status of open audit recommendations and identify and mitigate any project risks. Train and mentor current Vendor and Commercial staff to be able to take over activity and responsibility once the program transitions to BAU. Manage senior stakeholders to roll out the program of works that will deliver the remediation actions. Build appropriate vendor risk management artifacts and processes and support the rollout across relevant business stakeholders. Document vendor management processes, to support contract management decisions and allow contractual arrangements to be operationally governed and recorded.
Align with and actively demonstrate the Code of Conduct and Values
Cooperate with all health and safety policies and procedures of the university and take all reasonable care to ensure that your actions or omissions do not impact on the psychosocial or physical health and safety of yourself or others.
Ensure hazards and risks psychosocial and physical are identified and controlled for tasks, projects, and activities that pose a health and safety risk within your area of responsibility.
Skills and Experience:

Tertiary qualifications in a relevant field, or equivalent service with at least 7 years’ experience in commercial contract management.
Demonstrated ability and experience to manage vendor, vendor risk and develop effective, strategic supplier relationships.
Demonstrated ability and capability to develop and execute project deliverables as per the project plan.
A strong understanding of IT vendor frameworks, models and concepts and an experience in implementing in complex organisations.
Strong and effective stakeholder management skills, and proven ability to lead and influence negotiations as well as resolve complex disputes.
Proven leadership and effective people management skills, with experience in rolling out new processes and systems.
Strong interpersonal communication and negotiation skills. Able to develop effective relationships with key stakeholders at all levels in the organisation.
Proven ability to exercise independent judgement and problem solving with the ability to resolve and address issues as they arise.
An understanding of and commitment to UNSW’s aims, objectives and values in action, together with relevant policies and guidelines.
Knowledge of health & safety (psychosocial and physical) responsibilities and commitment to attending relevant health and safety training.
