What we’re looking for:
The Marketing Assistant/Receptionist will assist in the planning and execution of Four Season’s marketing strategy. The Marketing Assistant will also be responsible for the conceptualization and subsequent creation of organizational marketing campaigns. He/she will be highly creative and versatile with a proven ability to work well under pressure and adhere to multiple deadlines. As a Marketing Assistant, this position will act in a supporting role for the sales department.
Duties and Responsibilities:
Photograph and catalog units for easy access
Web Inventory maintenance as directed by marketing, and work with specialized software
Greet customers as they come through the front door with a smile and welcoming greeting. Converse and inquire about the customers’ need and direct them to the appropriate department following to make sure each customer is greeted and taken care of by the next dept/person
Keep track of the availability of the sales personnel. Including whether they are with customers, on the lot, off the lot, etc.
Inspect the exterior of all new incoming trailers
Prepare paperwork for new units and direct it to the appropriate departments
Enter new trailers into IDS and send an email to notify the sales team that the new trailer has arrived
Keep track of and direct demo customers in the appropriate direction
Maintain tracking logs of all trucks, vans, and dealer plates
Distribute faxes and emails to appropriate departments. Maintain confidentiality of incoming materials
Order all new customer unit name decals as well as any other decals required. Have all decals ordered and ready in advance.
Prepare binders for all sold trailers.
Process all deal sheets; enter data into the system and make copies for the sales person and other appropriate departments.
Create a schedule/ rotation for all Email Ups and Phone Ups; update and notify salesperson when they are assigned.
Assist other employees/departments at the dealership with paperwork and other tasks as assigned.
Keep front desk area tidy and make sure heater is turned off at the end of the day.
Turn phones on in the morning and off at the end of the day.
From time-to-time, you may also be given additional responsibilities or transferred to a position other than the one to which you are presently assigned.
This position will act as an additional receptionist when needed
Core Competencies and Qualifications:
Previous experience in marketing as asset
Proficiency in Canva for creating simple marketing graphics
Basic photography experience (ex. hobbyist or freelance work) for visual content
Familiarity with social media platforms (ex. Instagram, Facebook) for basic content creation and posting
Knowledge of Adobe Creative Suite (ex. Photoshop or Illustrator) is a plus but not required
Demonstrable ability to multi-task and adhere to deadlines
Excellent knowledge of MS Office, marketing computer software and online applications
Excellent communication skills
Energetic & ability to work well in a fast paced environment
