Job Description

Baxter Media seeks a Marketing & Events Coordinator to join our team. This person will play a pivotal role in assisting Baxter Media’s sales and events management teams, providing broad administrative support, executing in-house and client driven webinars, managing classified sales, assisting with events and a handful of special projects balanced with some core administrative functions. This is a hybrid (remote/in-person) role with 2-3 days per week working from the Baxter Media office in Toronto.

Core Responsibilities:

Webinar Events Coordination

Scheduling, planning, managing, hosting, and executing all webinars while coordinating with clients.
Managing the live webinar including providing technical support, moderating discussions, managing social media livestreams, and keeping the event on track.
Creating and editing promotional materials and video content for reuse, including finding innovative ways to promote webinars and redistribute video content.
Sales Support

Supporting the sales team by assisting with the preparation of supporting documents, proposals and presentations.
Process sales orders with accuracy and efficiency.
Promptly respond to all communications (internal and external).
Baxter Student Ambassador Program (BSAP) Coordination

Coordinating with professors, students, and sponsors to promote and manage the Baxter Student Ambassador Program.
Preparing a monthly newsletter, including curating stories, uploading posts to the BSAP website and building the newsletter in Mailchimp.
Assisting the editorial team with preparing the BSAP issue of Travel Courier magazine.
Social Media

Working with our editorial and marketing teams to create, schedule and publish engaging content across Baxter Media’s social media channels.
Stay up to date with social media best practices to grow engagement and follower counts.
Administrative Functions

Providing administrative support to the Baxter Media president, including email transcription and calendar management.
Supporting the Baxter Media events division with administrative projects related to the Agents’ Choice Awards Gala and Travel Press Live! events.
Maintaining an industry-specific events calendar and job board.
Qualifications / Required Skills

Experience hosting and moderating live webinars is an asset
Strong webinar application platform skills
Sales and marketing experience is preferred
Event coordination experience is an asset
Demonstrated administrative and communication skills
Proficiency with design programs like Canva, Adobe InDesign or other
Proficiency with email programs like Mailchimp is an asset
Self-starter, accountable for setting and meeting goals
Analytical and problem-solving skills
Proficient in scheduling and posting on social media
Service-oriented, friendly, entrepreneurial, and committed to personal and organizational excellence
