AVAC Services is a veteran advocacy company dedicated to supporting Australian veterans in securing the entitlements and benefits they have earned through their service. We manage complex medico-legal claims on behalf of hundreds of active clients and are growing rapidly.
ABOUT THE ROLE
The Medical Evidence Coordinator is the operational anchor of our Medical Evidence Team. You will own the end-to-end coordination of all medical evidence required to support veterans claims, from initiation of referrals through to quality assurance and release to our Case Management Team.
You will manage a team of Medical Evidence Officers, Medical Records Officers, and a Medical Liaison team, ensuring nothing stalls, nothing is missed, and every piece of evidence meets the standard required for a successful claim outcome.
YOUR RESPONSIBILITIES
Manage and coordinate daily workflow across the medical evidence team
Assign tasks, monitor progress, and hold team members accountable to turnaround times and quality standards
Oversee initiation of all medical referrals and follow up on all outstanding evidence requests
Review incoming medical evidence for completeness, diagnosis confirmed, onset date established
Identify gaps in evidence and initiate corrective action immediately
Conduct quality assurance on all evidence before release to the Veteran Intake Team/Case Management Team
Contact clients regarding medical evidence requirements with professionalism and sensitivity
Maintain accurate case notes and tasks in Zoho CRM
Produce regular progress reports and escalate bottlenecks before they become critical
WHAT YOU BRING
Essential:
Background in medical administration, health insurance claims, medicolegal coordination, or workers compensation
Experience reviewing and interpreting medical records and reports
Strong understanding of medical terminology and diagnostic documentation
Proven experience managing or coordinating a small team
Exceptional organisational skills with the ability to manage high volume workloads
Confident and empathetic communicator, comfortable discussing sensitive matters with vulnerable clients
Proficient in CRM systems and document management platforms
Highly Regarded:
Experience in veterans advocacy, DVA claims, or a compensation law environment
Familiarity with Zoho CRM and SharePoint
Understanding of causation, onset, and diagnosis documentation in a legal or compensation context
Experience managing virtual teams.
