In our Montgomery clinic, our clinical focus includes Family Practice, Rheumatology, Neurology, and a Family Medicine Dermatology Clinic. You will be working as part of a team that includes multiple disciplines such as Administration, Licensed Practical Nurses, Pharmacy Team, Family Physicians, and Specialists. As this role requires working as part of our team and providing the first line of communication with patients, the successful applicant shall be highly professional, presentable, positive, and reliable.
Your Mark:
· Patient Reception and Check-In:
Greet patients and visitors in a friendly and professional manner
Verify patient demographics and ensure all necessary paperwork is completed accurately
Schedule appointments and manage the clinic's schedules efficiently
Validating Alberta Health Care Coverage for patients
· Patient Record Management:
Maintain electronic health records (EHR) and ensure all patient information is up-to-date and accurate.
Handle contacting patients and booking new incoming referrals, coordinate referral confirmations and appointment notifications
Faxing patient referrals, consultation letters, and other documents as needed
Handle confidential patient information with discretion and adhere to HIPAA regulations
· Assist Healthcare Providers:
· Mark patients as arrived upon time of check-in, contact patients who have not checked in at the time of their appointment
Back up support to physicians and nurses with rooming patients, chaperoning, and taking vitals if needed (Such as blood pressure, temperature, and weight)
Prepare examination rooms, ensuring they are clean, stocked, and organized
· Patient Education and Communication:
Provide patients and their families with relevant information about procedures, treatments, paperwork, and medications as directed by healthcare providers
Answer phone calls and respond to inquiries from patients, caregivers, and other healthcare professionals promptly and courteously
Send messages to physicians or nurses as appropriate, for clinical-related questions or concerns relayed by patients’
· Medical Billing and Coding:
Process patient payments and assist with billing inquiries
Scan copies of the physicians' billing/day sheets into the EMR for timely processing
· Administrative Support:
Perform general administrative tasks such as filing, faxing, scanning, printing, and copying documents
Assist with inventory management, including notifying staff on site about needs regarding ordering and stocking medical supplies and office supplies
Coordinate referrals to specialists and other healthcare facilities as needed
Fax consultation letters back to the referring practitioners at the time of completion
Fax diagnostic reports (Pulmonary Function Test results) back to referring practitioners
· Clinic Operations Support:
Collaborate with other clinic staff to ensure smooth day-to-day operations
Assist in maintaining cleanliness and organization in the reception area and waiting room
Participate in staff meetings and quality improvement initiatives as required
· Safety and Compliance:
Follow infection control protocols and maintain a safe environment for patients, staff, and visitors
Adhere to clinic policies and procedures, including safety regulations and quality assurance standards.
Your Skills:
Medical Terminology: Proficiency in medical terminology is critical for accurately understanding patient needs and communicating with healthcare providers.
Electronic Health Records (EHR) Management: Experience with EHR systems to maintain patient records, update medical histories, and input clinical data efficiently. Preference will be given to those with previous experience with MedAccess EMR.
Patient Communication: Strong communication skills to interact with patients and their families empathetically, explaining procedures, test results, and consultation processes clearly and reassuringly.
Scheduling and Appointment Management: Ability to manage a busy appointment calendar, schedule patient appointments, and coordinate with multiple healthcare providers' schedules effectively.
Organizational Skills: Excellent organizational abilities to maintain order in a fast-paced environment, prioritize tasks efficiently, and manage multiple responsibilities simultaneously.
Attention to Detail: Strong attention to detail to ensure accuracy in patient records, billing information, and administrative tasks, minimizing errors and maintaining compliance with regulations.
Problem-Solving: Effective problem-solving skills to address patient inquiries, resolve scheduling conflicts, and handle unexpected situations or emergencies calmly and efficiently.
Team Collaboration: Ability to work collaboratively with other healthcare professionals, administrative staff, and support personnel to ensure smooth clinic operations and provide optimal patient care.
Confidentiality and Compliance: Commitment to maintaining patient confidentiality and adhering to healthcare regulations, including HIPAA compliance, in handling sensitive medical information.
Adaptability and Flexibility: Flexibility to adapt to changing priorities, patient needs, and clinic workflows in a dynamic healthcare environment, maintaining professionalism and composure under pressure.
