Medical Office Assistant (MOA) / Receptionist – Audiology Clinic
Echo Hearing Care | Vancouver (Kitsilano)
Echo Hearing Care is a busy, growing private audiology clinic dedicated to providing high-quality hearing healthcare in a professional, patient-centred environment. We are seeking a Medical Office Assistant (MOA) / Receptionist to support daily clinic operations and deliver a calm, organized, and welcoming experience for our patients.
This is a permanent, long-term position best suited for someone seeking stability, responsibility, and growth within a healthcare clinic. Prior experience in a medical or allied health setting is required.
The position currently supports one audiologist and involves frequent patient interaction, hands-on work with hearing aids and patient devices, and basic troubleshooting. A second audiologist is expected to join the clinic in the coming year. The clinic can be busy at times, and this role requires comfort managing phones, patients, scheduling, and administrative tasks simultaneously.
Key Responsibilities
Patient Care & Communication
Greet patients, manage check-in and check-out, and maintain a welcoming clinic environment
Answer phone calls, respond to inquiries, and support patients with professionalism, warmth, and accuracy
Communicate clearly with individuals with hearing loss, providing guidance and reassurance
Provide general information regarding hearing aids, appointments, and clinic procedures
Scheduling & Clinic Workflow
Schedule and confirm appointments; manage daily and weekly clinic flow
Coordinate assessments, fittings, follow-ups, and hearing aid appointments
Manage appointment reminders, cancellations, and rescheduling efficiently
Monitor clinic flow to reduce delays and bottlenecks
Administrative & Clinical Documentation
Maintain accurate electronic patient records and EMR documentation
Prepare patient forms, invoices, referral letters, and required documentation
Scan, file, and organize digital records
Support smooth daily operations through proactive organization
Billing & Payments
Process payments for services, hearing aids, and accessories
Prepare invoices and documentation for third-party funders
Ensure billing accuracy and daily reconciliation
Track and follow up on outstanding claims when required
Hearing Aid & Technical Support
Perform routine hearing aid cleaning, basic troubleshooting, and minor repairs (training provided)
Track incoming and outgoing hearing aids, repairs, replacements, and warranties
Manage hearing aid orders, returns, and accessory inventory
Support the audiologist during busy periods by preparing devices and supplies
Clinic Operations
Maintain a clean, organized reception and clinic space
Ensure exam rooms and clinic supplies are well stocked
Provide general administrative support to keep clinic operations running smoothly
Assist with light clinic marketing and outreach tasks as needed
Qualifications
Required
Minimum 2+ years experience as a Medical Office Assistant or in a medical/allied health clinic within Canada
(e.g., audiology, dental, optometry, physiotherapy, medical specialist office)
Experience working with EMR systems
Clear spoken and written English with strong communication skills, essential when supporting patients with hearing loss
Strong multitasking ability in a busy clinical environment
High level of initiative, problem-solving ability, and willingness to self-learn
Friendly, compassionate, patient-focused approach
Professional, reliable, and detail-oriented
Comfortable working with hearing aids and patient devices (training provided)
Proficient with computers and clinic software
Ability to type 55–60 WPM
Must be legally authorized to work in Canada on a permanent basis (no employer sponsorship)
Compensation & Benefits
$21.50–$26.00 per hour, based on experience
