About the Role:
We are seeking a dedicated and detail-oriented Medical Receptionist to join our supportive team. This role is ideal for someone who enjoys variety, takes pride in organisation, and is able to manage multiple priorities with care and professionalism.
The successful applicant will primarily be based at our Liverpool practice, with occasional travel required to our other locations in Kogarah, Castle Hill, and Lane Cove to support the wider team.
Key Responsibilities:
Greet patients warmly and manage front desk operations in a professional and compassionate manner
Answer phones, respond to emails, and assist patients, doctors, and third parties with enquiries
Schedule and confirm appointments and coordinate patient lists for surgical procedures
Prepare and distribute theatre lists, liaising with hospitals, specialists, and clinical staff
Process payments, handle invoicing, and maintain accurate financial and administrative records
Chase and follow up requests from third parties, including insurers, referring doctors, and allied health providers
Manage medical correspondence, scan and upload documents, and maintain accurate patient files and records
Support doctors with clinical paperwork, letters, and reports as needed
Maintain stock levels, order office supplies, and ensure the practice is clean, organised, and well-presented at all times
Assist with general office duties such as filing, photocopying, and preparing patient documentation
Contribute to a positive and collaborative workplace culture by assisting other team members when required
Must Have:
Australian working rights
Ability to work consistent, reliable days each week
Strong attention to detail and accuracy in all administrative tasks
Excellent communication and interpersonal skills, with a caring and professional manner
Good computer and data entry skills, with experience using Microsoft Office and email systems
Strong organisational and time management abilities
Ability to multitask and remain calm under pressure in a busy medical setting
Desirable:
Experience in a specialist or multidisciplinary medical practice
Familiarity with hospital bookings, theatre coordination, and third-party communication
Understanding of confidentiality, medical documentation, and professional communication
Certificate in Medical Administration or equivalent qualification
A car and driver’s licence are highly recommended due to limited public transport options when working off-site

Pay: $25.74 – $27.79 per hour
Expected hours: 38 per week
