Job Description
We are looking for a genuinely strong in-clinic admin professional to take ownership of the admin function across our allied health clinics.
This is an important role in the business. It is not just about answering phones, booking appointments, and keeping things moving. It is about creating a high standard of client experience, supporting clinicians properly, bringing structure to busy days, and helping make sure the admin side of the business runs the way it should.
The right person will be caring, highly organised, calm under pressure, and confident taking responsibility. They will understand that in healthcare, good administration matters. It shapes how clients feel about the business, supports better care, and often determines whether a day runs smoothly or becomes harder than it needs to be.
You will start Mon-Fri at 7:30am.
What you will be doing
You will be the key admin person in the business. You will still be hands on in the work, but you will also help oversee and direct other admin support team members, including our VA and remote admin support. This role suits someone who enjoys both doing and leading, and who takes real pride in bringing order, follow through, and professionalism to a busy environment.
You will take responsibility for the day to day admin function across the business. That includes making sure phones are handled properly, new enquiries and missed calls are followed up promptly, bookings are managed well, recalls and rebooking are not missed, and billing, payments, and referral admin processes are completed accurately. You will also help coordinate work across the wider admin team, improve systems and workflows where needed, and provide management with a clear picture of what is working well and where attention is needed.

Proactive Health is a growing allied health business with clinics across South Australia with our direct team being across 7 clinics and 20+ clinical staff. We care a lot about the quality of service we provide, the way clients are looked after, and the kind of team we build around them. Who we are looking for
We are looking for someone with solid administration experience, ideally in healthcare, allied health, medical, or another fast paced service environment where detail, responsiveness, and professionalism matter. Just as importantly, we are looking for someone with judgement. Someone who can think ahead, solve problems, communicate well, and notice what needs attention without waiting to be told every step.
This role will suit someone who is warm but capable, organised without being rigid, and able to hold a high standard while still dealing with people well. You should be someone who likes responsibility, values follow through, and enjoys helping both clients and staff have a better experience because you were in the role.
You will likely do very well here if you care about doing things properly, communicate clearly, stay steady when things get busy, and like being relied on. You should also enjoy improving the way things are done, not just getting through the task list in front of you.

This is not the right role for someone looking for a quiet reception job with low responsibility. It is a role for someone who wants to be an important part of a growing healthcare business and who takes pride in helping things run well every day.
