Job Description
We are seeking a professional and friendly second Receptionist/Secretary to join our busy private ophthalmology clinic based in central London. We provide a very high standard of care. We would prefer the applicant to have experience as a medical secretary, have excellent organisational skills and be someone who enjoys interacting with patients and their families.
Experience using DGL software would also be helpful but not essential as training will be given.
Hours are 40 per week with 30 minutes for lunch taken within those hours.
Clinic hours are 8.30am - 6pm Monday to Friday. Hours worked are to be arranged with the senior secretary on a flexible basis to ensure clinic hours are covered.
We will consider job share or applicants who would like to work part time.
Duties
Greet and welcome visitors in a warm and professional manner.
Answer and direct phone calls, taking messages when necessary. Arranging appointments ensuring accurate patient details are recorded. Ensure a letter confirming the appointment is sent along with GDPR form and financial information.
Organising the daily patient list and preparing the relevant files.
Ordering office supplies and overseeing the maintenance of the equipment.
Maintaining accurate and up to date patient records, including scanning, filing and back up of all files.
Responding to queries with patients in a timely manner and ensuring that all contact is recorded within the patient file. Assist with correspondence, both electronic and paper-based.
Sending samples for medical testing and booking further investigations as needed, recording the the results and updating patients as advised by the consultant.
Handle incoming mail and deliveries, distributing them appropriately.
Preparing letters and clinical reports using our dictation service. Sending letters in a secure manner.
Maintaining total confidentiality of personal and financial data ensuring you are aware of your responsibilities under the data protection Regulations (GDPR)
Taking payments, providing receipts and raising invoices.
Book theatre cases and ensure the patient pathway to theatre is followed.
To attend to all consultant and management requests as appropriate.
To liaise with other hospitals/clinics to book consultant clinics.
To ensure a happy working environment within the office and to raise any concerns in an appropriate manner.
Requirements
Previous office experience is helpful with a strong understanding of administrative processes.
Demonstrated administrative experience in a similar role is highly desirable.
Excellent communication skills, both verbal and written, with a professional telephone manner.
Strong organisational skills with the ability to multitask effectively in a busy environment.
A proactive attitude with a willingness to learn and adapt to new challenges.
