Job Summary/General Purpose of Job
• Responsible for the execution of assigned entity meetings from start to finish. Responsibilities include: development of project timelines, budgets, development of event specifications, and vendor communications and negotiations. Responsible for managing the on-site logistics for these meetings. The person in this position will often work in conjunction with other entity meeting planners to coordinate logistical aspects of entity-wide conferences; specifically the writing and development of meeting brochures, preparation of budget reports, coordination of CLE applications, and coordination of speaker arrangements. This person may also: staff the entity publications committee and/or be responsible for the production and distribution of entity newsletters.

Essential Job Functions and Responsibilities (listed in order of importance and/or time spent)
• Coordinate and plan meetings, and/or in-house functions from pre-planning through execution (including development of project timelines, budgets, development of event specifications, and vendor communications and negotiations.
• Travels to and administers on-site meeting/event logistics.

Coordinate specific aspects of entity-wide events (i.e. housing; signage, audio visual, brochure development, CLE application process, etc.)
• Develop speaker database and coordinate all speaker arrangements and logistics.
• Produce and distribute quarterly newsletter. Staffs entity publications committee.
• Performs other related duties as required.

Required Education, Qualifications, Experience
• Bachelor’s Degree from four-year college or university (or equivalent experience)
• 2-3 years of experience in the meetings industry.
• Strong written and oral communication skills.
• Proficiency in Microsoft Office software (Excel, Word, Access and Powerpoint).

Physical Requirements
• Normal Office Condition.
