Key Responsibilities:

- Collaborate with clients to understand their event requirements and translate them into a captivating experience.
- Conceptualize event themes, designs, and marketing strategies to achieve the desired outcomes.
- Develop detailed event budgets and ensure adherence to cost constraints.
- Manage vendor relationships, negotiate contracts, and source high-quality suppliers.
- Oversee event logistics, including venue selection, catering arrangements, and technical setup.
- Recruit, train, and manage an event team to ensure seamless execution.
- Monitor event progress, identify potential issues, and implement corrective measures.
- Capture event feedback and analyse data to refine future event strategies.

Requirements:

- Proven experience as an Events Management Executive or a related role.
- Extensive knowledge of the events industry, including trends, practices, and technologies.
- Excellent communication and interpersonal skills to liaise with clients, vendors, and internal teams.
- Creative flair and innovative thinking to develop unique event concepts.
- Strong organisational and time management skills to manage multiple projects simultaneously.
- Proficient in event management software and project management tools.

Bringing it to the role.

We're a team of 4 Executive Assistants working in a fast-paced environment, supporting our 10 Functional Directors on the Leadership Team. Together, we provide efficient, professional, and value-adding support across all functions, led by our Exec Support Team Leader.

We’re on the lookout for a creative and enthusiastic Meetings and Events Coordinator (on a 9 month contract) to plan and deliver internal events from start to finish. You’ll handle everything from choosing venues and restaurants to organizing formats and evaluating success—whether it’s a small team offsite or a larger event like our 80-person Golf Day. You’ll also be in charge of hosting VIP visits to the UK and managing complex travel arrangements for our Leadership Team.

Additionally, you’ll be expected to support the Exec Support Team Leader with top-notch administrative assistance, keeping things running smoothly and adding value wherever possible.

What you’ll do
• Event Management: Assisting with offsite and onsite events including sourcing appropriate venues, getting contracts prepared, rooming lists, catering, entertainment, transportation, gifts etc
• Undertaking a wide range of activities and actions on behalf of Executive Directors: researching/booking restaurants, researching/booking hotels and meeting venues, sourcing gifts and recognition awards are some examples
• Identifying requirements and expectations for each event
• Staying under budget while planning event specifications
• Cultural ambassador at all times
• Assisting the Exec Support Team with the full management of Director schedules: complex, effective and proactive diary management
• Assisting the Exec Support Team with preparing complex travel itineraries
• Arrange meetings, room bookings, and documents – must be reactive in a constantly changing environment, always thinking two steps ahead and anticipating needs
• Provide cover for other Exec Support team members as and when required
• Assists with core business administration (e.g. Invoice management, expenses etc)
• Research travel options for the Leadership Team with our travel team

Full organisation of the following KFC UK Events:
• 2-day Leadership Team Off-sites (3 per year)
• Franchise Partnership Day (3 per year)
• Annual Franchisee Day
• Functional team offsites and on sites
• VIP Visits to the UK from other KFC Markets (ad hoc)
• 3-day Global CEO and Leadership Market Visit (1 per year)
• Annual Summer Event for all UK KFC employees
• Annual Golf Day Event for all our KFC Franchisees
• Annual 2 x Hospitality Days at Royal Ascot for our Leadership Team and Franchisees
• Biannual Stewardship Meetings
• Leadership Team/Direct Reports Connections throughout the year (approx. 4)
• Other ad hoc events throughout the year as required

Experience
• Proven event management experience necessary to support functional and companywide events and used to planning multiple events at once
• Proven experience in successfully executing an Administrator role in a busy function/organisation
• A proven track record of organising successful events in a fast-paced environment
• Proficient in MS Office and Egencia travel provider portal
• Diary Management essential – Outlook calendar knowledge to maintain complex calendars
