The Australian National Maritime Museum is seeking a highly organised Museum Events and Programs Coordinator to join the Programs and Events team in a full-time, non-ongoing role for a period of 12 months. This role requires strong planning and event coordination skills to support the successful delivery of end-to-end internal events.

About the Role
This position is integral to the planning and delivery of Museum led events, internal departmental events, programs and activations, supporting internal, stakeholder and public facing initiatives across the Museum, in managing all aspects of internal events from concept through to completion, ensuring seamless execution that meets client briefs and expectations. The role involves coordinating, organising and overseeing the planning of event operations and logistics to deliver successful end-to-end internal events. The Coordinator serves as the central point of contact, providing direction, support and communication to internal clients and stakeholders.

This position is also vital to the planning and delivery of Museum-led events, programs and activations, supporting both internal and public-facing initiatives. Responsibilities include event coordination, logistics management, adherence to work health and safety requirements, vendor coordination, and liaising with internal clients to tailor events to the Museum’s unique setting. The role assists with venue bookings through Sydney Restaurant Group, oversees event setup, and manages related administration and reporting, ensuring compliance with Museum policies and safety regulations. Working closely with internal departments, the Museum Events and Programs Coordinator facilitates Museum-hosted events with the goal of maximising venue utilisation while preserving the Museum’s integrity and visitor experience.

Please note: This recruitment process is intended to fill both current and future vacancies. While the position on offer is non-ongoing, a merit pool of suitable applicants may be established to fill similar ongoing and non-ongoing positions within the next 18 months.

Key Accountabilities
Under limited direction, this position is responsible for delivering the following functions:

Plan and coordinate the end-to end delivery of internal departmental events, stakeholder events and public programs, ensuring alignment with Museum priorities, visitor experience and operational requirements.
Coordinate event logistics and operational requirements, including suppliers, contractors, schedules, site inspections, venue bookings, run sheets, equipment, catering, staffing and on -site delivery, ensuring timelines and quality standards are met.
Support and contribute to the operational delivery of internal departmental events, public programs and activations, identifying issues early and implementing practical solutions to ensure successful outcomes.
Collaborate with internal departments and external stakeholders to scope, develop and deliver internal, stakeholder and public facing events and activations that meet operational, engagement and organisational objectives.
Manage site safety, risk assessments and WHS compliance, ensuring events meet legislative, policy and Museum requirements and escalating risks where required.
Liaise with internal teams (including Front of House, SRG, Fleet, Security and Facilities) to coordinate event requirements and ensure smooth and integrated delivery.
Coordinate internal communications for events, including planning meetings, invitations, briefings, debriefs and reporting to support continuous improvement.
Contribute to the development and sourcing of promotional resources, working with marketing and communications teams to support event visibility and engagement.
Maintain forward planning tools, including developing an annual events calendar, and assist with budgeting and resource forecasting for internal and non-commercial events.
Undertake accurate administrative and financial coordination, including floor plans using Open Draw, creating event orders, quotes, purchase requests, invoicing, record keeping in ELO and vendor onboarding in line with Museum processes.
Selection Criteria
The successful candidate will demonstrate their capacity against the following:


Demonstrated experience coordinating and delivering events or activities, including managing competing priorities, coordinating logistics, and working with a range of internal and external stakeholders across different functions and areas of expertise.
Proven ability to work effectively in a multi-disciplinary team, contributing to shared objectives while exercising sound judgement, managing multiple tasks, and adapting to changing priorities.
Well-developed written and verbal communication skills, with the ability to prepare clear documentation, coordinate internal communications, and engage professionally with stakeholders and service providers.
Strong customer service and problem-solving capability, with demonstrated attention to detail and the ability to identify issues, implement practical solutions, and escalate risks appropriately to support successful event delivery.
Proficiency in Microsoft Office applications, with demonstrated ability to manage administrative, financial and reporting tasks accurately, including maintaining records and supporting planning and coordination activities.

Qualifications and/or relevant experience required
Mandatory:
Event operations experience.
Work healthy safety knowledge.
Verbal & written communication skills.
Desirable:
Minimum 3 years’ experience working in an events management role.
Willingness and ability to work on weekends and evenings as required.
High level of database efficiency and literacy and demonstrated ability to work with a CRM system, various software programs, cad planning and digital service providers.
An understanding of digital- social and content marketing.
