Job Summary: We are looking for a proactive and organised Event Manager to join our team. The ideal candidate will be responsible for venue selection and negotiation for events, as well as performing various event management tasks. Key Responsibilities: Events Coordination: - Event Coordination: Coordinate company events, including conferences, seminars, workshops etc. - Logistics Support and Management: Coordinate transportation, accommodation, and catering arrangements. - Promotion and Communication: Maintain regular communication with vendors, and stakeholders to ensure smooth event execution. - On-site Management: Oversee the setup and teardown of event venues.Address any issues or emergencies that arise during events. 1. Venue Knowledge and Database Management: - Maintain a comprehensive database of all potential event venues, including their specifications, availability, and pricing structures. - Understand the strengths, weaknesses, and unique features of each venue. - Stay updated on new venues, renovations, or closures in the market. 2. Negotiation and Cost Optimization - Develop strong relationships with venue managers and owners to establish long-term partnerships. - Negotiate competitive rates, discounts, or value-added services (e.g., complimentary amenities, extended hours). - Ensure the venue pricing aligns with the event budget while maintaining quality standards. 3. Booking and Contract Finalization - Manage the end-to-end booking process, ensuring terms are clearly documented and agreed upon. - Verify that contracts include negotiated rates, cancellation policies, and other agreed terms. - Ensure timely confirmation of bookings to avoid conflicts or missed opportunities. 4. Vendor and Stakeholder Relationships - Build a strong network with venue owners, managers, and relevant stakeholders. - Leverage relationships to secure exclusive deals or priority access to in-demand venues. 5. Market Research and Trend Analysis - Monitor trends in venue pricing, new venue openings, and competitive offerings. - Benchmark costs and services to ensure the company remains competitive in its venue offerings. - Provide management with insights into market opportunities and cost-saving strategies. Qualifications and Skills: - Education: Any Graduation/Post Graduation is good to have. - Min 5 years of experience in venue sales and event management. - Strong organizational and multitasking abilities. - Excellent communication and interpersonal skills. - Ability to work independently and as part of a team. - Strong attention to detail and problem-solving skills. - Flexibility to work irregular hours and travel as needed for events. Should be comfortable performing Light Physical activity such as occasionally helping with heavy objects, standing or running around at the event venue.
