Job Overview:
We are seeking a proactive and hands-on Office Administrator to oversee vendor management, logistics, event coordination, and office administration. This is not a desk job—the role requires on-ground execution, including visiting vendors, handling last-minute event requirements, and ensuring smooth day-to-day office operations.
Key Responsibilities:1. Vendor & Logistics Management
Coordinate with vendors for office supplies, services, and Hurun events.
Travel to vendors as needed for negotiations, procurement, and follow-ups.
Maintain a record of vendor agreements, invoices, and payments.
2. Travel & Accommodation
Manage all travel bookings for the team, including flights, trains, and cabs.
Book hotels and accommodations while ensuring company policies are followed.
3. Event Coordination & On-Site Execution
Coordinate and manage on-site event setup and execution.
Work closely with suppliers and contractors to ensure high-quality event delivery.
Supervise logistics, inventory, and production needs during the event week.
Handle multiple projects simultaneously, from small gatherings to large-scale events.
4. Inventory & Office Management
Manage logistics and inventory control for office equipment, materials, and event-related assets.
Ensure office pantry and stationery are stocked and well-organized.
Oversee maintenance of office infrastructure and equipment.
Maintain an up-to-date database of contacts, vendors, and clients.
5. Administrative & Operational Support
Assist in day-to-day office administration and general operations.
Support team members with event-related and office coordination tasks.
Schedule appointments, maintain calendars, and ensure smooth operations.
