About the role
We are seeking a self-starting, independent, reliable & hard-working person to fill our administrative position. This is a permanent position, where you will be working 30-37 hours per week. With guidance from the Executive Director, this position requires the ability to establish priorities & accurately meet deadlines in a fast-paced environment. Your main responsibility will be to handle a multitude of administrative & bookkeeping activities including accounts receivable & payable, monthly report preparation & overall administrative support to the organization. Other responsibilities include but are not limited to the following:
Maintain accurate records
Process payroll bi-weekly
Prepare month end & reports on a timely basis
Update the website & resolve/direct IT issues
Manage all communications, including weekly newsletter
Oversee online meetings & trainings, tracking registrations & invoicing for events
Maintain physical & electronic filing systems
Provide support to staff & members to support overall organization goals & objectives
Assist in the development & implementation of new procedures to enhance workflow of the organization
Support members in troubleshooting online log ins, registrations & accommodations
Other office duties as assigned
Job Qualifications:
Post-secondary education in Bookkeeping and Office Administration
Minimum of 3 years’ experience in an administrative role
In-depth knowledge & proficiency with QuickBooks, Microsoft Office & Office 365
A proven track record for learning new systems & applications
Ability to maintain a high level of accuracy in preparing & entering data
Highly organized with attention to detail & excellent verbal & written English communication skills.
Self-directed with the ability to exercise sound judgement & make decisions with minimal supervision
Ability to demonstrate professionalism & handle private & confidential information
Ability to present a positive professional image & interact effectively with all stakeholders
Experience with Mailchimp & Survey Monkey is preferred
