As an Office Administrator in the Elections Calgary office, you will be responsible for the administration of the office for the 2026 General Election. You will monitor reception, general inboxes, manage supplies and catering orders, and respond to public inquiries. As part of your duties, you will create work instructions and processes that election clerks will use to perform their daily work and you will provide administrative support to the leadership team. You will be comfortable working with new technology and assisting others. Primary duties include:
Reception duties, such as answering phones, admitting and greeting guests and monitoring inboxes.
Track and report on completed and outstanding work.
Assist Elections Calgary leaders and analysts in developing work processes.
Coordinate leadership team meetings and note taking.
Create work instructions for specific tasks performed by the election clerks.
Perform administrative duties such as filing, taking minutes, preparing and organizing materials, and sending or receiving mail/courier deliveries.
Respond to public inquiries in-person, over the phone, and by written correspondence.
Facilitate the purchase of supplies and material for the office.
Qualifications
A completed 1 year certificate in Business Administration or a related field with at least 3 years of related office experience.
Intermediate level of proficiency in Microsoft Office (Word, Excel, and Outlook) is also required.
Previous experience working in a fast-paced administrative environment with a focus on customer service would be considered an asset.
Experience in elections or municipal government would be considered an asset.
You have excellent communication skills with strong attention to detail accompanied by strong organizational, analytical and problem solving skills.

Days of Work: This position typically works a 5 day work week, with 1 day off in each 3 week cycle.
