Job Description
We are looking for someone who is seeking a long-term position where they can develop their skills and become part of our dynamic team.
Working from our office, you will need to interact with clients, answer phone calls, and undertake the general duties which arise in a busy office. Someone who is accurate, organised and self-motivated with a positive, 'can-do' attitude would make the ideal candidate and the role would suit someone with great communication skills and IT proficiency.
Duties:
Administration
Answering telephone calls, relaying messages via email if staff are engaged or in meetings
Constant observation of incoming emails, responding where necessary and forwarding queries raised by clients to relevant staff members
Meeting and greeting clients coming to the office for meetings
Assisting the bookkeepers and accountants with client-related administration
Opening all the post and scanning to appropriate personnel in Wells and London, or filing directly to the relevant client files
Checking-in and checking-out new and historical accounts papers from and back to clients
On a weekly basis sending emails to clients whose statutory deadlines for their accounts are becoming due. Maintaining this practice and liaising with relevant staff to ensure clients receive their reminder
Updating holiday planner and sickness records
Organising catering and social events for the company and staff meetings
Attending and participating in regular team meetings as required
Credit Control: Chasing client debts
Monitoring staff hours
Undertaking training as necessary
Must Have:
Proven track record as an administrator or similar role, at least 1 year’s experience
Proficient in all Microsoft office software
Attention to detail, accuracy, and excellent organisational skills
Strong communication and interpersonal abilities
Capable of working independently and meeting deadlines
Strong problem-solving skills and ability to adapt to changing priorities
Good written communication skills
Willingness to learn
