Job Description
Elite Taxation is seeking a reliable and detail-oriented Office Administrator to support daily administrative and operational functions. This role is responsible for managing office administration, coordinating supplies and orders and supporting internal processes to ensure smooth business operations.
Key Responsibilities
Administrative & Office Support
Provide day-to-day clerical and administrative support to accountants and office staff within the accounting practice.
Assist with routine office tasks and follow established systems and procedures to support accounting, tax, and compliance work.
Perform general secretarial and organisational duties, including data entry, document preparation, and record maintenance.
Enter, update, process, and edit client information, correspondence, and accounting-related documents accurately and in a timely manner.
Maintain client files, engagement records, and supporting documentation in line with internal policies and instructions from senior staff.
Client & Front-of-Office Support
Greet clients and visitors courteously and direct them to the appropriate staff member.
Answer phone calls, emails, and general enquiries, and pass technical or advisory matters to relevant accountants.
Schedule appointments, meetings, and follow-ups as instructed, and update calendars and booking systems accordingly.
Provide basic, non-advisory information to clients regarding document submission, office processes, and appointment timelines.
Financial, Data & Records Support
Assist with preparing and maintaining basic financial, statistical, and operational records for internal use.
Support invoice processing, expense recording, and billing administration under guidance from senior staff.
File and organise financial documents, client correspondence, and statutory records in both electronic and physical systems.
Compile simple administrative summaries and reports as requested to support internal reviews and compliance tasks.
Mail, Documentation & Information Handling
Receive, sort, record, and distribute incoming mail, emails, and documents.
Prepare and send outgoing correspondence, forms, and information to clients and external agencies as instructed.
Assist with handling Inland Revenue, Companies Office, and other regulatory correspondence under supervision.
Ensure accurate filing, document control, and secure handling of confidential information in accordance with privacy requirements.
Qualifications & Experience
Hold at least 1 year of experience in an administrative, clerical, or office support role is essential.
Strong organisational skills with high attention to detail.
Ability to manage purchase orders, and office documentation.
Competent computer skills, including email, spreadsheets, and record management systems.
Strong communication skills and ability to work independently and as part of a team.
